Role & responsibilities

Administrative management: Act as the Director's gatekeeper by managing their calendar, prioritizing appointments, and coordinating all meetings and conference calls.
Travel arrangements: Organize and manage all travel logistics, including booking flights, accommodations, and transportation. They also prepare detailed itineraries and process expense reports.
Communication handling: Serve as the primary point of contact, screening and fielding phone calls, emails, and correspondence. The PA drafts and prepares communications and reports on the Director's behalf.
Meeting support: Prepare agendas, presentations, and briefing materials for meetings. This may also involve taking meeting minutes, tracking action items, and ensuring timely follow-up.
Project assistance: Support the Director with special projects and initiatives by conducting research, compiling data, and tracking deadlines to ensure timely completion.
Information and document management: Maintain efficient digital and physical filing systems for confidential and sensitive information. They also assist with document creation, editing, and formatting.
Stakeholder liaison: Build and maintain strong, professional relationships with internal colleagues, external partners, and clients, acting as a representative of the Director.
