Job Title: Operations Executive - Travel & Tourism Location: Ithum Tower, Sector - 62, Noida, Uttar Pradesh Job Type: Full-Time Department: Operations - Travel Reports To: Operations Manager Job Summary: We are looking for a detail-oriented and proactive Travel Operations Executive to join our team. The ideal candidate will be responsible for end-to-end execution of travel itineraries, vendor coordination, bookings management, guest assistance, and operational logistics. This role demands exceptional organizational skills, a problem-solving attitude, and a customer-first approach to ensure seamless travel experiences for clients. Key Responsibilities: Trip Execution: Manage pre-departure, on-ground, and post-trip operations including logistics, communication, and customer support. Vendor Coordination: Liaise with hotels, transport providers, tour guides, and activity partners to confirm bookings and ensure service quality. Guest Handling: Provide real-time support to travelers during the trip, handle escalations, and ensure customer satisfaction. Documentation: Ensure timely and accurate documentation - vouchers, travel briefs, tickets, and compliance paperwork. Group Departures: Coordinate operations for fixed departures, including accommodation blocks, transport arrangements, and staff deployment. Logistics Planning: Optimize route plans, travel timing, and buffer management for smooth operations. MIS & Reporting: Maintain records of bookings, vendor payments, customer feedback, and generate operational reports. Crisis Management: Handle unexpected issues like delays, cancellations, or complaints with prompt and effective solutions. Cross-functional Collaboration: Work closely with the sales and accounts teams for seamless execution from confirmation to closure. Process Improvement: Identify operational gaps and suggest improvements in SOPs for efficiency and scalability. Job Requirements: Education: Bachelors degree in Travel & Tourism, Hospitality, Business Administration, or related field (preferred). Experience: Minimum 2 to 3 years of experience in travel operations, logistics, or itinerary execution. Coordination Skills: Strong multitasking and coordination capabilities for managing complex itineraries and groups. Customer Service: Calm, composed, and helpful approach in high-pressure or live-trip scenarios. Tech Savvy: Familiarity with spreadsheets, itinerary planning tools, and basic CRM usage. Communication: Excellent verbal and written communication skills. Problem Solving: Quick decision-making skills and the ability to manage on-ground challenges efficiently. Detail Orientation: High attention to detail in documentation, logistics, and customer preferences. Preferred Attributes: Passion for travel and hands-on knowledge of popular destinations. Ability to work flexible hours and travel when required. Team player with a proactive, can-do attitude. Fluency in English; knowledge of regional languages is a plus. The ideal candidate will be responsible for understanding client travel needs, crafting customized itineraries, managing bookings, and providing end-to-end sales support. This role involves strong communication skills, attention to detail, and a passion for delivering memorable travel experiences. Key Responsibilities: Client Consultation: Engage with clients via phone, email, or in-person to understand their travel requirements and offer personalized solutions. Itinerary Customization: Design travel plans tailored to the customers preferences, budget, and travel style - domestic and international. CRM Handling: Maintain accurate records of leads, interactions, bookings, and customer preferences using the company CRM system. Sales Support: Prepare quotations and proposals, follow up on inquiries, and assist with post-sale support to ensure conversion and retention. Invoicing & Payments: Generate invoices, track payments, and liaise with the finance team for billing and reconciliation. Booking Management: Coordinate with DMCs, hotels, airlines, and activity providers to confirm travel arrangements and negotiate competitive pricing. Customer Relationship Management: Build long-term client relationships to encourage repeat bookings and referrals. Sales Target Achievement: Consistently work towards and meet assigned sales targets through effective lead conversion and upselling. Vendor Coordination: Communicate with service vendors to ensure seamless delivery of travel services. Market Awareness: Stay updated on travel trends, destinations, and packages to better advise customers. Job Requirements: Education: Bachelor's degree in Travel & Tourism, Hospitality, Business, or a related field (preferred). Experience: 2 to 3 years in travel sales, customer service, or B2C travel consulting. CRM Experience: Familiarity with using CRM software for managing leads and pipeline tracking. Sales & Communication Skills: Strong interpersonal skills with a persuasive approach and customer-first mindset. Itinerary Planning Expertise: Demonstrated ability to create detailed, cost-effective travel plans. Tech Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook); knowledge of booking platforms and travel tools is an advantage. Detail-Oriented & Organized: Capable of managing multiple leads, follow-ups, and bookings with precision and efficiency. Preferred Attributes: Enthusiasm for travel and destination expertise. Proactive attitude with a solution-oriented mindset. Ability to work independently as well as within a team. Fluency in English; additional language skills are a bonus.
