Role & responsibilities Coordinate with the Project Manager and assist him in performing all important correspondences and appropriate treatment of incoming and outgoing information. Typing of site documents and following up on all the site needs. Generating the various document control reports as required. Coordinating all activities related to the Document Control procedure, including technical documents, drawings and commercial correspondence. Preparation of material submittals, shop drawings submittals, (RFI) request for information etc.,weekly reports and monthly report for client& consultant. Keeping a systematic record of all files and updating the same, maintaining soft copies, and taking back up from time to time to ensure the security of all important contractual correspondences. To liaise with the project management to identify priorities and appropriate treatment of incoming and outgoing information and continually update and maintain accuracy of information. Input document data into the standard registers ensuring that the information is accurate and up to date. Handling of confidential information. All incoming, and outgoing correspondences & documents such as (RFI) requests for information, shop drawings, materials submittal, sample tags, test reports, document submissions, inspection requests etc., are separated for filing as per QA/QC formats. To organize copies of hard & softcopy documents, incoming and outgoing, and distribute quickly and effectively and continually update and maintain accuracy of information. Making copies of the latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable. Maintaining updated records of all approved documents and drawings and their distribution. Maintaining the documents and drawings in the Document Control Office under safe custody without any damage or deterioration with ease of traceability.
