Responsibilities Organizing company meetings, including scheduling travel, scheduling meetings, sending reminders, organizing catering, and preparing minutes and action items as directed. Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate team. Overseeing housekeeping and security services. Managing administration and maintenance related vendors. Maintaining inventory of housekeeping material, stationary, and other required provisions, and ordering material from vendors as needed. Formatting company CVs and maintaining signed copies of position descriptions. Completing expense reports for management. Running high-level office errands, for example: arranging materials from print shops, food or beverages for meetings, arranging access and proximity cards for new hires/visitors, etc. Providing administrative support by collecting and analysing information, and drafting letters, documents and other communication, including those of a sensitive, confidential or non-routine nature. Prioritizing conflicting needs; handling matters expeditiously and proactively, and following through to successful completion, often with deadline pressures. Building and maintaining a network of relationships (e.g., leadership team, leadership teams' direct reports, Operations, etc.) to obtain information and assistance as required. Business Development & Marketing Specialist Responsibilities Support cross-functional sales and marketing teams by managing diverse tasks, optimizing processes, and driving alignment across departments to improve operational effectiveness. Effectively and efficiently organizes and maintains records related to contacts, leads, meetings, follow-up tasks and client/campaign specific deliverables in various trackers including Microsoft Dynamics CRM, K-drive, HubSpot and any other tools as required. Gains proficiency with Dynamics 365 CRM, GlobalData, Zymewire, LinkedIn Sales Navigator, as applicable, and other sales tools, as applicable.
