Role & responsibilities Administrative Management Oversee day-to-day office administration, facility management, and staff coordination Maintain records of attendance, leaves, and other HR-related documentation Coordinate with internal teams for logistics, dispatch, and inventory requirements Manage office supplies, equipment, and vendor service contracts Assist in organizing company events, audits, and internal meetings Compliance & Documentation Ensure company adherence to FMCG-specific regulatory, statutory, and safety requirements Maintain updated records of licenses, certifications (FSSAI, GST, Pollution Board, Factory License, etc.) and renewals Prepare and maintain documentation for audit and inspection purposes Coordinate with legal, finance, and operations teams for compliance reporting Monitor and update SOPs (Standard Operating Procedures) for plant and administrative operations Purchasing & Procurement Handle procurement of raw materials, packaging materials, and office supplies as per approved vendor list Obtain quotations, prepare purchase orders, and negotiate with vendors for best rates and quality Maintain accurate purchase and inventory records in coordination with the accounts and stores departments Track order deliveries, manage vendor payments, and ensure timely procurement to avoid production delays Build and maintain vendor relationships to support company sourcing needs Preferred candidate profile Required Skills & Qualifications: • Proven experience in administration, compliance, and purchasing within an FMCG or manufacturing environment • Strong knowledge of procurement processes, vendor management, and compliance documentation • Familiarity with ERP or accounting systems (Tally, SAP, or similar software preferred) • Excellent communication, coordination, and record-keeping skills • Good understanding of FMCG operations, factory documentation, and supply chain workflows • Proficiency in MS Office (Excel, Word, PowerPoint)

Role & responsibilities Administrative & Team Management • Supervise daily office administration, documentation, and communication flow between departments • Lead and coordinate the sales support/admin team to ensure timely task completion and process efficiency • Maintain attendance, expense reports, and other team-related administrative records • Assist management in day-to-day operational planning and internal coordination • Support HR and operations teams in staff scheduling, onboarding, and internal communications Sales Administration & Coordination • Manage order processing, billing, invoicing, and sales documentation in coordination with the sales team and accounts department • Ensure accurate entry of sales orders and timely dispatch of goods • Coordinate with sales executives, distributors, and dealers to resolve order or delivery-related issues • Prepare and maintain sales reports, collection updates, and dispatch summaries • Monitor stock levels and provide inputs to the production and warehouse teams for replenishment planning Logistics & Dispatch Management • Coordinate logistics operations including vehicle scheduling, dispatch planning, and route management • Liaise with transporters, warehouse staff, and dispatch teams to ensure timely deliveries • Maintain proper documentation for dispatches including delivery challans, e-way bills, and invoices • Track shipments, manage delivery timelines, and handle logistics- related queries from clients or sales teams • Optimize logistics costs by negotiating with transporters and monitoring freight efficiency Preferred candidate profile Required Skills & Qualifications: • Proven experience in administration, sales coordination, and logistics within an FMCG or manufacturing environment • Strong understanding of sales order flow, dispatch management, and supply chain coordination • Experience in handling teams and ensuring process discipline • Proficiency in MS Office (Excel, Word, PowerPoint) and ERP software (Tally, SAP, or similar systems) • Excellent communication, organizational, and time-management skills • Ability to multitask, prioritize, and work efficiently under pressure
