Purchase & Sales Coordinator Job Type: Full-time Experience Required: 0-2 years Industry: IT Job Summary :We are seeking a detail-oriented and proactive Purchase & Sales Coordinator to manage the end-to-end process of obtaining supplier quotations, preparing competitive proposals for clients, and ensuring smooth coordination between the purchase and sales departments. The ideal candidate should possess strong negotiation skills, attention to detail, and the ability to handle multiple tasks efficiently. Key Responsibilities Source and obtain quotations from suppliers for products and services. Evaluate supplier offers based on pricing, quality, and delivery timelines. Prepare and format quotations/proposals for clients as per company standards. Coordinate with the sales team to ensure timely submission of quotations to clients. Maintain and update supplier and pricing databases. Follow up with suppliers for pending quotations and deliveries. Assist in negotiating terms with suppliers to secure the best deals. Ensure proper documentation and record-keeping of all quotations and purchase orders. Liaise with the accounts department for invoice verification and payment follow-ups. Support sales and procurement teams with any administrative or coordination tasks. Requirements: Diploma or Bachelor’s degree in Business Administration, Commerce, or IT Strong communication and negotiation skills. Proficiency in MS Office (Word, Excel, Outlook). Attention to detail and excellent organizational skills. Ability to multitask and work under tight deadlines. Knowledge of ERP systems will be an advantage.

Key ResponsibilitiesClient Requirements Analysis: Work closely with the sales team to engage with clients, conduct in-depth needs analysis, and understand their technical challenges and business objectives. Solution Design: Architect tailored IT solutions that effectively address client requirements, utilizing products and services from our vendor partners. Bill of Quantity (BOQ) Creation: Develop detailed, accurate, and clear BOQs and technical proposals that outline the solution's scope, components, and specifications. Vendor Management: Liaise with technology vendors (e.g., Cisco, Microsoft, HP, Dell, VMware, AWS, Azure) to obtain the most current product information, technical specifications, and competitive pricing. Quotation & Proposal Development: Prepare comprehensive and professional commercial quotes and proposals, ensuring accuracy in pricing, licensing, and service descriptions. Technical Support for Sales: Act as the technical expert during sales presentations, product demonstrations, and client meetings to build credibility and trust. Market Awareness: Maintain up-to-date knowledge of the latest IT trends, products, and technologies to provide innovative solutions to clients. Process Adherence: Ensure all proposals follow internal compliance and governance procedures. Required Qualifications & SkillsBachelor’s degree in Information Technology, Computer Science, Engineering, or a related field. Proven experience (typically 3+ years) in an IT Presales, Solution Architect, or Technical Sales role. Must-have technical experience in one or more of these areas: Cybersecurity Networking & Infrastructure Demonstrable experience in creating BOQs (Bills of Quantities), BOMs (Bills of Materials), and CAD drawings technical proposals. Strong experience in engaging with technology vendors to request and negotiate pricing. Excellent analytical and problem-solving skills with the ability to translate client needs into a technical solution. Strong communication and presentation skills, with the ability to explain complex technical concepts to both technical and non-technical audiences. Preferred Qualifications :Relevant professional certifications in IT hardware and networking
