Job Description

1. MAIN PURPOSE OF THE JOB

  • Support the Head of Flight Operations (HoFO) in managing the day-to-day functions of the Flight Operations Department, Crew rostering and administration.
  • Support the Head of Flight Training (HoFT) in ensuring all trainings are conducted in strict compliance with the DGCA rules and regulations and Quikjet Operations Manual.
  • Plan and publish monthly crew roster within the approved FDTL scheme and ensure that no violation of rules occurs.
  • Responsible for Compliance and Quality Audits of flight operations departments and coordinate with stakeholders for corrective/preventive actions for any shortfalls/non-compliance and effectively mitigate potential hazards and risks.

2. KEY RESPONSIBILITIES OF THE JOB

Carry out the duties and responsibilities as under and as may be specified by the Company from time to time.

A Crew Rostering

  1. Responsible for planning and publishing of crew roster on a monthly basis.
  2. Ensure that there is no violation from approved FDTL scheme and optimum utilisation available crew.
  3. Ensure that the crew are not reaching fatigue limit and proper rest is available to the crew.
  4. Ensure availability of crew for all flights and stand by crew are planned as per regulatory requirements.
  5. Handle all unforeseen situation during day of operation.
  6. Prepare all routine reports and forward to regulator and within the company.
  7. Ensure that all crew details are updated in the software and crew are legal to operate the flight.
  8. Ensure that all the records are retained as per regulatory requirements.
  9. Ensure all crew trainings are planned well in advance and necessary arrangements are made.
  10. Ensure all crew movements and hotac are planned well in advance and coordinated after approval.
  11. Prepare crew patterns and ensure optimum utilisation and equal distribution of flying to available crew.
  12. Coordinate with training dept for planning and rostering of crew for various training requirements.
  13. Monitor the validity and expiry of various approvals and licences and ensure timely renewals.
  14. Initiate actions on any fatigue reports or voluntary reports from the crew.
  15. Assist HoFO for charter operation preparation and crew availability planning.
  16. Monitor and record expenses related to crew travel and hotac within the budget.
  17. Ensure that timely reporting of any violations/ extensions etc as per DGCA regulation.

B Administration

  1. Assist HoFO to prepare/revise Flight Operations policies, processes and procedures related to crew FDTL and latest policies.
  2. Ensure that all the crew records are maintained as per regulatory requirements and ARMS software is kept updated with all documents.
  3. Advice for any software upgradation or modifications related to crew records, rostering or reports generation.
  4. Responsible for Flight Operations Standards, Documentation, Regulatory Compliance, and liaise with DGCA for regulatory approvals and requirements.
  5. Ensure advance planning and induction of crew to match the operational needs. Plan recruitment of DE/TRE/TRI/LTC/Captains/FO/JFO in accordance with the company HR guidelines and the qualification requirements in consultation with HoFO. To closely work with the HR department.
  6. Draw up yearly and six-monthly/quarterly duty, training and leave plans for all flight crew for approval by HoFT and constantly monitor for ensuring crew availability at all the time for the company flights.
  7. Advise HoFO in case of changes in the leave and training plans, anticipated or occurring in due course due to operations or non-availabilities of staff etc and proactively revise the plans submit for approvals.
  8. Planning of medicals at various medical centres and their assignment on the roster with coordination with rostering department.
  9. Maintenance of accurate pilots and other Flight Operations staff data base in ARMS software.
  10. Monitor and ensure that all the expenditures of the department are strictly as per approved budgetary allocation. Be cost-conscious and align all efforts towards ensuring that cost is kept as budgeted to a minimum, constantly explore opportunities to reduce departmental costs and increase efficiency.
  11. Carry out monthly internal audits of FDTL records and forward report to HoFO.
  12. Promote and implement Quality, Safety, Efficiency and Integrity and the Customer as the prime focus of all actions and motto of all Quikjet employees.
  13. Other duties assigned by the Head/Dy Head of Flight Ops.
  14. Considering the dynamic environment of the operations, the Job Description may be altered to suit operational efficiency.
  15. Each and every Quikjet employee is to be cost-conscious and needs to align their efforts towards ensuring that cost is kept to a minimum, commensurate with their position/job function, but without compromising the fundamental objectives. Constantly explore opportunities to reduce operational costs and increase operational efficiency.
