Key Responsibilities Visitor Management: Greet and welcome guests, provide them with information, and direct them to the appropriate person or office. Communication: Answer, screen, and forward incoming phone calls, and respond to emails and correspondence. Administrative Support: Perform tasks such as filing, photocopying, data entry, and updating documents and spreadsheets. Reception Area Maintenance: Keep the reception area clean, tidy, and presentable at all times. Mail Handling: Receive, sort, and distribute incoming mail and packages. Scheduling: Update calendars, schedule meetings, and manage appointment bookings. Office Supply Management: Monitor and order front office supplies, keeping an inventory of stock. Security: Maintain office security by controlling access via the reception desk and following safety procedures. Required Skills and Qualifications Interpersonal & Communication Skills: Excellent verbal and written communication, with the ability to remain calm and courteous under pressure. Customer Service: A strong focus on guest needs and the ability to handle feedback and complaints effectively. Organizational Skills: Ability to multitask and manage time in a dynamic environment. Technical Proficiency: Familiarity with office equipment like photocopiers, printers, and computers, as well as Microsoft Office suite.
