Job Description

A Front Office Executive's job involves being the primary point of contact for a company, managing the reception area, greeting visitors, answering calls and emails, and handling administrative duties like filing, scheduling, and managing mail. They ensure a welcoming environment, provide information, resolve issues, and coordinate with internal departments, acting as the face of the organization. Key Responsibilities

  • Visitor Management: Greet and welcome guests, provide them with information, and direct them to the appropriate person or office.
  • Communication: Answer, screen, and forward incoming phone calls, and respond to emails and correspondence.
  • Administrative Support: Perform tasks such as filing, photocopying, data entry, and updating documents and spreadsheets.
  • Reception Area Maintenance: Keep the reception area clean, tidy, and presentable at all times.
  • Mail Handling: Receive, sort, and distribute incoming mail and packages.
  • Scheduling: Update calendars, schedule meetings, and manage appointment bookings.
  • Office Supply Management: Monitor and order front office supplies, keeping an inventory of stock.
  • Security: Maintain office security by controlling access via the reception desk and following safety procedures.

Required Skills and Qualifications

  • Interpersonal & Communication Skills: Excellent verbal and written communication, with the ability to remain calm and courteous under pressure.
  • Customer Service: A strong focus on guest needs and the ability to handle feedback and complaints effectively.
  • Organizational Skills: Ability to multitask and manage time in a dynamic environment.
  • Technical Proficiency: Familiarity with office equipment like photocopiers, printers, and computers, as well as Microsoft Office suite.
  • Professionalism: A professional presentation and strong interpersonal and problem-solving abilities.
  • Education & Experience: Often requires a bachelor's degree and experience in customer service or a similar professional area.
