Job Overview: The Filing Officer at H&S Immigration plays a vital administrative role in supporting the efficient handling of immigration cases. The position involves maintaining organized, accurate, and up-to-date files—both physical and electronic—while ensuring all client documents are properly recorded, stored, and easily retrievable. Key Responsibilities: Maintain and organize client files for immigration cases, ensuring documents are properly sorted and stored. Accurately file, scan, and upload documents into internal systems and case management software. Ensure that all immigration forms, identity documents, and supporting evidence are filed correctly and consistently. Monitor file status and alert case managers to missing or pending documents. Retrieve requested documents efficiently for case officers or legal assistants. Archive or close files following completion of services in accordance with retention guidelines. Handle confidential information in a secure and professional manner. Provide administrative support including printing, photocopying, and data entry. Coordinate with legal and casework teams to support timely file completion and submission. Required Qualifications: High school diploma or equivalent (college-level education is an asset). Prior administrative or office experience (preferably in immigration, legal, or professional services). Strong organizational skills and attention to detail. Ability to manage multiple tasks and prioritize efficiently. Familiarity with office equipment (printers, scanners, filing systems). Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems. Discretion and reliability in handling confidential information. Strong written and verbal communication skills. Preferred Skills: Experience with immigration case management software. Knowledge of immigration document types (e.g., visa applications, passports, forms). Ability to work under pressure in a fast-paced environment.
