Role & Responsibilities _ Senior Admin Executive Office Administration & Facility Management Oversee day-to-day office operations (cleanliness, utilities, repairs, and safety compliance). Maintain office supplies and coordinate with vendors. Manage contracts for housekeeping, security, and maintenance services. Documentation & Record Keeping Maintain records related to employee files, attendance, leaves, and compliance documents. Handle confidential documents and ensure secure storage and easy retrieval. Support document submission for audits or regulatory inspections. Vendor & Procurement Management Source and manage relationships with vendors for office equipment, automobile parts, logistics, etc. Negotiate contracts and ensure timely delivery of goods and services. Handle purchase orders, GRNs, and invoice verifications. Travel & Logistics Coordination Organize travel and accommodation for senior management or staff. Oversee logistics for vehicle dispatch, spare parts movement, or inventory relocation. Coordinate with transporters and logistics partners. Maintain company vehicle records insurance, servicing, fitness, RTO documents. Coordinate test-drive vehicle tracking and inventory handling at dealerships or workshops. Accounts Payable & Vendor Coordination: Process vendor bills for vehicles, parts, and services; match POs, invoices, and GRNs; maintain vendor aging reports and resolve payment discrepancies. Data Entry & Record Keeping: Enter transactions in ERP (Tally), file bills and receipts, and support audit documentation.
