Job Description

As a Front Office Executive at our company, you will be instrumental in creating a positive first impression for our clients and visitors. Your role will involve managing the reception area, handling administrative tasks, and ensuring seamless communication within the office environment. Key Responsibilities: - Greet and welcome visitors with a professional and friendly demeanor. - Answer and direct incoming calls courteously. - Maintain the cleanliness and organization of the reception area. - Assist clients with inquiries and provide information on the firm's services. - Connect incoming calls to the appropriate department. - Arrange seating for visitors. - Assist in organizing employee engagement activities. - Coordinate the delivery of food and beverages to the CEO. - Schedule and manage client meetings, ensuring meeting rooms are properly set up. - Provide administrative support to various departments as required. - Handle incoming and outgoing mail and packages. - Keep employees informed about important announcements and updates. - Maintain the appointment calendar, schedule appointments, and coordinate meeting schedules with team members. - Monitor and replenish office supplies as necessary. - Maintain accurate records of visitor logs, incoming calls, and other relevant data. - Assist in managing databases and contact lists. - Collaborate with building management for office maintenance and repairs. Qualifications Required: - Graduates - 0-2 years of experience - Proven experience as a Front Office Executive or similar role. - Excellent communication and interpersonal skills. - Professional appearance and attitude. - Strong organizational and multitasking abilities. - Proficiency in Microsoft Office Suite (Word, Excel, Zoho). - Ability to handle stressful situations with poise and tact. - Knowledge of basic administrative tasks and office equipment.
