Position Overview We are looking for a highly organized and detail-oriented Executive Assistant to CEO to lead and manage administrative operations in our corporate office. This is not a front desk or reception role. You will work closely with management and executive assistants to ensure smooth back-office workflows, document handling, compliance support, and operational efficiency. The role is entirely in-office and is critical to maintaining the structure and performance of our internal operations. Key Responsibilities ● Oversee and manage day-to-day back-office administrative functions. ● Maintain accurate and organized digital and physical records, including investor files, contracts, and compliance documents. ● Assist with internal processes for document control, version tracking, and filing systems. ● Support executive management and assistants in handling operational and reporting tasks. ● Coordinate interdepartmental communications and task follow-ups. ● Ensure timely completion and tracking of administrative workflows, such as onboarding documentation, investor paperwork, and audit support files. ● Manage vendor communications for office-related services and supplies. ● Assist in preparation of presentations, reports, and operational materials. ● Track key compliance deadlines and work closely with compliance support when needed. ● Maintain confidentiality and discretion in handling sensitive business and investor information. Requirements ● 3+ years of experience in an administrative, operations, or back-office management role. ● Strong organizational and time management skills; ability to manage multiple projects with attention to detail. ● Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and document systems. ● Excellent written and verbal communication skills. ● Ability to work independently and collaboratively with management and executive teams. ● Familiarity with handling confidential files and compliance-related documentation.
