Job Description

Role Overview: You will be working as an Executive Assistant (EA) for a private family office, providing administrative, financial, and lifestyle support across various business, personal, and philanthropic interests. This role offers the opportunity to work closely with a growing family office, where you will play a crucial role in managing operations and contributing to both business and personal growth journeys. Key Responsibilities: - Business & Strategic Support: - Draft, review, and manage internal and external communications. - Manage executive calendars, investor meetings, off-sites, and travel itineraries. - Coordinate with legal, accounting, investment, and advisory teams. - Prepare reports, meeting briefs, and confidential memos. - Liaise with CEOs/CXOs/Management of portfolio companies. - Financial & Investment Administration: - Track investment portfolios, maintain dashboards, and performance reports. - Coordinate with wealth managers, bankers, CAs, and auditors. - Manage budget reporting, expense reconciliation, and confidential documentation. - Family & Lifestyle Management: - Oversee high-value personal purchases, gifting, celebrations, and family events. - Coordinate travel, hospitality, concierge services, and logistics. - Resolve operational issues as needed. - Confidentiality & Compliance: - Maintain discretion in personal and professional matters. - Ensure legal and regulatory compliance. - Safeguard sensitive data, passwords, contracts, and digital assets. - Proactive Support: - Identify operational bottlenecks and recommend solutions. - Monitor philanthropic initiatives, trust/foundation activity, or CSR projects. Qualification Required: - Minimum 3 years of experience in EA, Founders Office, Wealth Office, Family Office, or similar roles. - Excellent written and verbal communication skills. - High trust quotient, discretion, and ownership mindset. - Strong knowledge of finance, investments, and business operations. - Prior entrepreneurship exposure is a strong plus. - Ability to handle pressure, changing priorities, and multitask effectively. - Tech-savvy with proficiency in the latest technologies. - Discretion is a non-negotiable trait.
