Role & responsibilities Recruitment and Onboarding:Develop and implement recruitment strategies to attract qualified teachers, administrative staff, and support personnel.Conduct job postings, screening, interviewing, and reference checks.Manage the onboarding, induction and orientation process to ensure a smooth transition for new employees.Collaborate with department heads to assess hiring needs and create job descriptions.Maintain an organized applicant tracking system for streamlined hiring.Payroll and Benefits Administration:Review payroll, attendance, and leave records.Ensure timely salary disbursement and handle benefits of administration.Manage staff leaves, absence tracking, and compensation adjustments.Coordinate with finance to ensure payroll accuracy and compliance.Assist employees with payroll-related queries and benefits enrollment.Administration of Staff and Faculty BenefitsPlan and administer benefits program designed to insure employees against loss of income due to illness, injury, layoff, or retirementDirect preparation and distribution of written and verbal information to inform employees of benefits programmes such as insurance plans, pension plans, paid time off, bonus pay, and sabbaticalsAnalyse existing benefits policies of organization and prevailing practices among similar organizations to establish competitive benefits programmesCompliance and Legal Regulations:Ensure adherence to school policies, labor laws, and child protection regulations.Keep up to date with employment laws and educational regulations, implementing necessary policy updates.Ensure compliance with local, state, and federal employee related regulations and reporting requirements such as POSH, POSCO, Minimum Wages Act, Maternity Act etc.Monitor compliance with statutory requirements related to payroll, benefits, and other labor law obligations.Conduct regular audits to ensure compliance with workplace regulations.Develop and enforce workplace safety policies and procedures.Provide training sessions to staff on HR policies and compliance matters.Training and Development:Organize and conduct workshops, orientations, and continuous professional development programs through a well-planned Learning Development ProgramIdentify training needs and implement strategies for staff growth and performance improvement.Develop mentorship programmes to support new hires and emerging leaders.Evaluate the effectiveness of training programmes and make necessary adjustments.Maintain a database of training records and employee progress.Performance Management:Implement and oversee timely and effective performance appraisal systems.Provide feedback mechanisms and coaching to improve staff performance.Develop and review key performance indicators (KPIs) for different roles.Work with department heads to create individual development plans for employees as required.Address performance-related concerns and implement corrective actions when needed.Develop scales for increments promotions on the basis of the performance evaluations.Employee Relations and Engagement:Address employee grievances, conflicts, and disciplinary actions in accordance with school policies.Foster a positive work culture through employee engagement activities and team-building initiatives.Conduct regular check-ins with staff to assess morale and job satisfaction.Develop employee recognition programmes to reward outstanding performance.Organize wellness programmes and activities to support staff well-beingHR Policy and Strategy Development:Develop, implement, update, and maintain comprehensive employee policies and procedures to ensure robust internal controls.Develop and document Standard Operating Procedures (SOPs) for all employee-related processes and activities.Ensure automation of HR processes through ERP integration, which is in line with the SOPs and make frequent checks/updates as required.Collaborate closely with the school leadership team to recommend and implement HR improvements.Work closely with Embassy Group HR team to ensure consistency in HR practices and policies.Establish a structured and well-determined approach for handling workplace disputes and grievances.Monitor industry trends and best practices to enhance HR strategies.Regularly review and update SOPs to reflect changes in regulations, technology, and best practices.Train staff on SOPs to ensure consistent and accurate application of HR procedures.Budget Management:Monitor and control employee salaries and expenditures in accordance with the approved budget, ensuring financial discipline.Identify and report budget variances and provide actionable recommendations for corrective measures.Collaborate with department heads to review budget performance and update forecasts.Assist preparation of budget reports and presentations for the school board and other stakeholders.Provide recommendations for budget adjustments as needed.Employee Retention, Exit Formalities and Offboarding:Provide professional advice and guidance to LT on all employee relations issues, supporting complex cases (disciplinaries, capabilities, termination, grievances etc.) to ensure consistency across the SchoolDiscuss employee retention strategies with LT.Facilitate a smooth exit process for resigning or retiring employees.Conduct exit interviews to gather feedback and insights for improvement.Design succession planning strategies to ensure leadership and staff continuity.Ensure proper handover of responsibilities before an employee's departure.Manage clearance processes, including return of school property and final payroll settlements.Maintain records of exiting employees and update HR databases accordingly.Maintain records of terminations and blacklist of the employees as required.Stakeholder Communication:Communicate employee related information and announcements clearly and effectively to various stakeholders, including the Governing Council, School Leadership, and staff as needed.Assist preparation of HR reports and analysis at Governing Council meetings and other relevant forums.Collaborate with external partners, including auditors, consultants, Embassy Group HR team, recruiting agencies and potential employees.Preferred candidate profile 4 to 10 years of experience in talent acquisition, HR Operations,Experience in full-cycle recruiting, using various interview techniques and evaluation methodsProficiency with social media, CV databases, and professional networksExperience in using LinkedIn Talent Solutions to proactively source candidatesProficiency in documenting processes and keeping up with industry trendsExcellent interpersonal and communication skillsKnowledge of Applicant Tracking Systems (ATSs) or any other HR based applications
