ROLE OVERVIEW The Admissions Coordinator will be the Single Point of Contact (SPOC) for all admission-related enquiries across multiple channels – in person, telephone, WhatsApp, email, and online. The role requires a confident, articulate, and service-oriented professional who can present The Chaitanya School as the best place for a child’s education, while managing the end-to-end admission process seamlessly from enquiry to enrolment. KEY RESPONSIBILITIES Act as the primary contact for all admission enquiries (walk-ins, calls, WhatsApp, email, online). Respond promptly and professionally, including during reasonable out-of-office hours. Conduct school tours and parent presentations to provide a positive and persuasive experience. Manage the complete admissions process, including: o Handling the online application portal and assisting parents with digital submissions. o Guiding families through form completion, documentation, and verification. o Co-ordinating parent–child interactions, assessments (if any), and approvals. o Tracking every prospect from enquiry to application to confirmed admission to fee payment. o Ensuring accurate records in online databases (Google Sheets / MS Excel / ERP). o Provide accurate information on curriculum, facilities, admission process, fees, and timelines. o Support open houses, admission events, and marketing campaigns. o Build strong parent relationships with a guest-relations approach. o Drive retention of students in likely exit grades (10>11,KG>1, 8>9). o Conduct proactive retention discussions with families considering transfers to local schools. o Manage exit interviews with parents of students leaving, capturing reasons and feedback. SKILLS & COMPETENCIES Fluent English communication (spoken and written), with excellent presentation skills. Essential: Knowledge of Hindi and/or Gujarati. Strong interpersonal skills; approachable and empathetic. Skilled at handling sensitive conversations with tact and professionalism. Ability to manage end-to-end processes with attention to detail. Proficiency in Google Sheets/Excel databases and comfort with online application/ERP tools. Professional appearance and conduct QUALIFICATIONS & EXPERIENCE Graduate in any related discipline (Hospitality, Communications, English, or Management preferred). OR final-year students from hospitality, hotel management, or airline/customer service training institutes can be considered for a full-time paid internship. 0–5 years of experience in client-facing/guest relations roles (hospitality, airlines, premium retail, education, etc.). Experience handling customer databases, online forms, or CRM systems will be an advantage. Preferred: Based in or near Gandhinagar, with ability to be present at school daily. Qualified women currently non-working who meet the requirements may also apply. APPOINTMENT TERMS Initial Term: 6 months (immediate start).
