The HR Executive will be responsible for handling day-to-day HR operations, recruitment, employee relations, statutory compliances, and supporting the organization in building an efficient and employee-friendly work culture. The role demands strong interpersonal, organizational, and communication skills. Roles & Responsibilities1. Recruitment & Onboarding Source, screen, and shortlist candidates through job portals, consultants, referrals, and networking. Coordinate and schedule interviews with respective department heads. Draft and issue offer letters, appointment letters, and employment contracts. Conduct employee induction and orientation programs. Ensure smooth onboarding of new hires. 2. Employee Records & Database Management Maintain and update employee records, personal files, and HR databases. Track attendance, leaves, late marks, and maintain proper MIS. Manage employee ID creation, system access, and exit procedures. 3. Payroll & Compliance Support Collate attendance, leave, and overtime data for payroll processing. Assist in PF, PT, ESIC, Gratuity, and other statutory compliance filings. Coordinate with accounts/payroll team for timely disbursement of salaries. 4. Employee Engagement & Relations Organize employee engagement activities, events, and celebrations. Address employee queries and grievances in coordination with management. Promote a positive workplace culture through regular interaction and feedback. 5. Performance Management Support in drafting KRA/KPI and performance appraisal systems. Coordinate appraisal process and maintain performance records. Assist managers in employee evaluation and feedback mechanisms. 6. Training & Development Identify training needs through surveys and performance analysis. Coordinate internal and external training programs. Maintain training records and feedback analysis. 7. Exit Formalities Manage resignation process, conduct exit interviews, and prepare full & final settlement data. Revoke system access and collect company property. Ensure smooth handover between exiting and replacement employees. 8. HR Policies & Documentation Draft, implement, and update HR policies in line with labor laws. Ensure communication and compliance of HR policies among employees. Maintain confidentiality of employee information. 9. Additional Duties Perform any additional tasks, duties, or responsibilities assigned from time to time by the General Manager, Management, or Authorized Authority . Key Roles & Responsibilities1. Inventory Management Maintain updated inventory records for all incoming and outgoing stock. Manage stock categories including: Fiber cables (2F, 4F, 6F, 8F, 12F, etc.) OFC coils/taar Couplers, patch cords ONT/ONU, routers Splicing machines, OTDRs Tiffin boxes, tools, accessories All network operational materials. Conduct physical stock verification on a daily/weekly/monthly basis. Identify slow-moving, fast-moving, and critical stock. 2. Material Handling & Storage Ensure proper storage of fiber, tools, equipment, and sensitive electronic items. Maintain organized racks, labeling, and easy accessibility. Ensure safe handling of OTDRs, splicing machines, and electronic networking devices. Maintain cleanliness and systematic arrangement of the store area. 3. Stock Issuance & Receipt Receive incoming materials from vendors and verify quantity and quality. Record material receipt entry in software/register. Issue materials to technicians, project managers, and field executives against approved requests. Ensure proper documentation for all incoming/outgoing stock. Maintain tools issuance and return register (splicing machine, OTDR, tool kits, etc.). 4. Coordination & Communication Coordinate with the Purchase Department for stock requirements and shortages. Work closely with the Technical Team to understand daily material requirements. Update the Operations/Project Manager about stock levels and reorder status. Communicate with vendors regarding delivery timelines, shortages, or damaged items. 5. Documentation & Reporting Maintain GRN (Goods Receipt Note), DC (Delivery Challan), stock registers, and inventory charts. Update software/ERP on real-time stock movement (if applicable). Generate daily/weekly/monthly stock movement reports. Prepare material consumption reports for various projects and branches. Maintain records of scrapped or damaged materials. 6. Quality & Compliance Ensure all materials meet quality standards as per company requirements. Report any damaged/defective materials immediately. Follow company SOPs regarding store operations, safety, and documentation. Maintain compliance with audit requirements. 7. Asset Management Track company assets issued to employees (splicing machines, OTDRs, routers, testers, etc.). Maintain a log for issuance and return of costly tools and devices. Report missing or unreturned items to the management. 8. Operational Support Support project teams by ensuring timely availability of materials. Assist in logistics arrangements for material transfer between branches. Monitor material usage to control wastage and reduce unnecessary expenses. Skills & QualificationsEducational Requirements Graduate / Diploma (preferred in supply chain, logistics, or any technical field) Knowledge of telecom/broadband/FTTH industry preferred. Technical Skills Knowledge of fiber materials, FTTH components, and splicing tools. Basic computer skills (Excel, Word, Inventory Software). Understanding of storekeeping processes and documentation. Soft Skills Strong coordination and communication abilities. Attention to detail and accuracy. Responsibility, discipline, and time management. Ability to work under pressure and meet operational demands.
