Job Description – Site Supervisor (Fire Fighting Projects) Department: Projects Reporting To: Project Manager Location: Project Site(s) Work Hours: 9:30 AM to project closure, with availability during emergencies Job Purpose: The Site Supervisor is responsible for overseeing daily site activities, manpower attendance, material management, documentation, and communication to ensure the smooth and timely execution of fire fighting system projects, including Sprinkler, Hydrant, and Pump Room works. Key Roles & Responsibilities: 1. Attendance Monitoring • Reach the site by 9:30 AM sharp. • Ensure all technicians, workers, and subcontractors mark attendance on Zoho or assigned system daily. • Mark personal attendance and verify all entries before 11:00 AM, and reconfirm after 6:00 PM. • Report absenteeism or manpower shortages to the Project Manager. • Maintain a backup attendance log (manual or WhatsApp-based) in case of app issues. 2. Site Project Details & Updates • Stay updated on project scope, BOQ, approved drawings, and timelines. • Share daily updates via WhatsApp/email with the Project Team. • Ensure work aligns with client-approved designs and standards. • Conduct daily walkthroughs and share observations with the team. 3. Work Front (Chaal) Progress & Target Tracking • Visit at least 3 sites per day and report in/out times to the Project Manager. • Maintain a “Daily Work Progress Log” with labor deployment and completed quantities. • Follow and execute tasks as per daily/weekly targets from the Project Engineer. • Highlight delays or issues affecting work progress and coordinate across teams to maintain flow. 4. Material Updates & DC Management • Verify incoming material deliveries against DCs and notify the Inventory team. • Record material receipts with photos and signed DCs. • Share material status and requisitions on WhatsApp. • Ensure safe storage and proper tagging of received materials. 5. Problem Identification & Resolution • Proactively flag technical, material, or manpower issues. • Escalate unresolved issues to the Project Engineer or Manager. • Follow up on pending RFIs, approvals, or client instructions. • Ensure issues like drawing mismatches or space constraints are addressed early. 6. Documentation & Records • Maintain updated records of: o Daily Progress Reports (DPRs) o Labor attendance o Workfront photographs o Material received/used logs o Client/consultant instructions • Submit signed reports weekly to the Project Manager. • Ensure both digital and hard copies are well organized. 7. Communication & Coordination • Act as the site-level contact for clients, consultants, and TFPC team members. • Share clear and timely updates with all stakeholders. • Attend site meetings and forward minutes to the Project Manager. • Respond quickly to messages, calls, and work updates. • Share any critical decisions or approvals with the team immediately. • Be available during emergency situations.
