1. Procurement Planning & Sourcing Develop and implement purchase plans in line with unit consumption and budget. Source raw materials (grains, vegetables, dairy, meat, packaged goods) and non-food items (utensils, cleaning material, uniforms, etc.) as per demand. Maintain vendor database and ensure multiple sourcing to avoid dependency. 2. Cost Control & Budget Adherence Achieve savings on procurement by effective negotiation and rate contracts. Ensure procurement costs stay within approved budgets. Conduct regular market rate analysis for key items. Reduce wastage, leakage, and pilferage through strict monitoring. 3. Vendor Management Identify, evaluate, and empanel reliable vendors. Negotiate best terms (credit period, delivery timelines, quality standards). Monitor vendor performance through timely supply, quality consistency, and compliance. Ensure no conflict of interest or personal dealing with vendors. 4. Quality & Compliance Ensure all supplies meet quality, hygiene, and safety standards. Enforce compliance with statutory requirements (FSSAI, food safety, GST, etc.). Reject and record sub-standard or expired materials immediately. Ensure approved vendors only; no unauthorized purchases. 5. Inventory Management Coordinate with stores team for stock monitoring and timely replenishment. Maintain optimum inventory avoid stock-outs or overstocking. Implement FIFO/FEFO (First In First Out / First Expiry First Out). Ensure accurate stock records, physical verification, and reconciliation. 6. Systems & Process Discipline Follow company policy:. 100% approval-based procurement. Ensure all purchase orders are properly authorized and documented. 1. Manpower Planning & Deployment Forecast manpower needs for 50+ client sites based on contracts and client requirements. Ensure timely recruitment, onboarding, and deployment of kitchen staff, supervisors, and support workers across 9 states. Maintain an updated manpower database and workforce planning chart. 2. Recruitment & Talent Acquisition Source and hire skilled manpower (chefs, cooks, helpers, storekeepers, site managers). Develop state-wise recruitment channels and tie-ups (consultants, agencies, institutes). Ensure cost-effective hiring with minimum turnaround time. 3. Compliance & Statutory Management Ensure adherence to all labour laws across states (PF, ESI, Minimum Wages, Shops & Establishments, CLRA, etc.). Maintain statutory registers and documentation for all sites. Liaise with government officials during inspections and audits. Ensure timely filing and payment of all statutory dues. 4. Payroll & Attendance Oversee monthly payroll for 1000+ (example scale) employees across multiple sites. Implement biometric/attendance systems to reduce manual errors and absenteeism. Ensure accuracy of wage calculation, overtime, and statutory deductions. Disburse salaries only through approved digital channels (no cash payments). 5. Employee Relations & Retention Develop employee grievance redressal system. Conduct regular site visits to monitor staff morale, discipline, and hygiene practices. Implement employee engagement programs to reduce attrition. Manage transfers, rotations, and settlements fairly and efficiently. 6. Training & Development Conduct regular training programs for: Food safety & hygiene (FSSAI standards). Customer service and client interaction. Safety, fire-fighting, and emergency protocols. Create skill development plans for career growth of staff. 7. Policy Implementation & Discipline Ensure 100% compliance with company policies: Zero cash transactions. No personal email/mobile/bank account usage for company work. Strict accountability and approvals. Standardize HR processes across all sites. 8. Coordination & Client Support Act as HR contact point for client escalations related to manpower. Support business development with manpower proposals and cost structures. Ensure manpower is available at client sites without disruption to services. 9. MIS & Reporting Prepare monthly HR dashboards: Headcount, new hires, attrition. Compliance status (PF, ESI, CLRA). Payroll accuracy and grievance resolution. Submit state-wise compliance and manpower reports to management. 10. Team Management Lead regional HR executives/field officers. Train and monitor their performance. Build a responsive HR team to handle multi-state operations.
