Department : Office of the Executive Director Reports To : Executive Director Location : Ganges Valley School (GVS), Nizampet, Hyderabad Employment Type : Full-time Job Summary The Executive Assistant provides high-level administrative, operational, and strategic support to the Executive Director of GVS. The role demands exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and institutional projects. Key Responsibilities 1. Administrative Support Manage the Executive Directors calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, reports, presentations, and agendas. Maintain confidential files and records. 2. Communication & Liaison Serve as the primary point of contact between the Executive Director and internal/external stakeholders (government bodies, CBSE/AICTE/UGC, JNTUH, partner institutions). Draft official communications, emails, and notices on behalf of the Executive Director. Coordinate with HODs, faculty, and administrative staff to ensure smooth workflow. 3. Meeting & Event Coordination Organize board meetings, committee meetings, and institutional events (logistics, minutes, follow-ups). Prepare briefing materials and post-meeting action reports. 4. Project Management Track progress of key initiatives. Assist in policy drafting, compliance reports, and grant applications. 5. Data & Documentation Maintain records of Society bylaws, MOUs, and regulatory filings. Prepare analytics dashboards for decision-making (budget, enrollment, performance metrics). Qualifications & Skills Essential : Education : Bachelor’s degree (Master’s preferred) in Business Administration, Education, or related field. Experience : 5+ years as an EA/PA in education, government, or corporate sectors. Technical Skills : Advanced MS Office (Excel, PowerPoint, Word). Document management systems (e.g., ERP, Google Workspace). Soft Skills : Exceptional written/verbal English communication. Discretion in handling sensitive information. Ability to multitask under deadlines. Key Performance Indicators (KPIs) 100% scheduling accuracy for the Executive Director. Timely submission of reports (zero delays). Stakeholder satisfaction (internal surveys). Work Conditions Hours : Standard office hours (with flexibility for events/meetings). Travel : Occasional for conferences or institutional visits.
