Job Description: We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to senior executives and contribute to the smooth functioning of the organization. This role requires exceptional time-management skills, confidentiality, and the ability to handle multiple priorities in a fast-paced environment. The ideal candidate will also demonstrate flexibility by supporting the HR team during periods of reduced executive workload. Key Responsibilities: • Strong time-management skills and ability to organize and coordinate multiple tasks. • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives. • Ensure professionalism and strict confidentiality in handling sensitive information. • Must be able to meet deadlines in a fast-paced quickly changing environment. • Draft high-quality presentations, meeting notes, and other documents. • Ability to organize a daily workload based on priorities. • Assist in the preparation and execution of meetings, ensuring all materials and logistics are arranged. • Serve as a liaison between executives, team members, and external stakeholders to ensure smooth communication. • Handle travel arrangements, including booking flights, accommodation, and preparing detailed itineraries. • Track and follow up on tasks, deadlines, and projects to ensure timely completion. Required Skills: • Professional level verbal and written communication skills. • Well-organized, detail-oriented, with strong multi-tasking and follow-up abilities • Proficient in managing calendars, scheduling meetings, and coordinating appointments. • Ability to adapt quickly to changing priorities and remain resourceful in problem-solving. • Proficiency with office tools and software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. • Excellent interpersonal skills, with the ability to build strong relationships across the organization. • Flexibility to work outside regular business hours to accommodate the schedules of executives working in different time zones. Additional Responsibilities: •Should be willing to support the recruitment team during periods of reduced executive workload by contributing to tasks such as screening resumes, conducting initial discussions with candidates, scheduling interviews, coordinating candidate communication, and maintaining recruitment data. •Assist in organizing company events, team-building activities, and executive functions.
