1. Position Overview

The Accountant & Sample Management Executive will be responsible for handling the company’s financial operations, sample workflow, quality control coordination, customer feedback management, and market analysis. This role is critical to ensuring smooth functioning of both accounting and operational activities within the textile chemicals & Auxiliaries, Dyes, and pigments business.

The ideal candidate will have strong analytical and organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously while maintaining accuracy.

2. Key Responsibilities

A. Financial & Payment Management

  • Process supplier/vendor invoices and ensure approvals before payment.
  • Record and maintain all financial transactions with proper documentation.
  • Manage accounts payable and receivable; set reminders for due payments.
  • Reconcile bank statements weekly and prepare financial summaries.
  • Maintain records for bills, outstanding receivables, and payables.

B. Sample & Order Workflow Management

1. Receiving Samples from Textile Manufacturers

  • Log incoming samples with complete details (sample ID, specs, date, category).
  • Dispatch samples to chemical manufacturers for production and maintain detailed records.
  • Actively follow up with manufacturers for updates, delays, or issues.

2. Creating Curated Samples

  • Develop curated sample specifications based on customer demand and market trends.
  • Coordinate manufacturing of samples with chemical suppliers.
  • Track and document every stage of the manufacturing and approval process.

3. Quality Control & Testing

  • Coordinate laboratory testing and ensure timely report collection.
  • Maintain organized digital and physical archives of all lab reports.
  • Analyze lab results and customer feedback to evaluate product suitability.

C. Sample & Pipeline Monitoring

  • Maintain real-time tracking for all samples (creation testing delivery).
  • Prepare weekly reports highlighting pending, completed, or delayed samples.
  • Follow up daily with concerned persons to ensure proper distribution and market penetration.
  • Document remarks, feedback, pricing, and progress for accountability.

D. Market Analysis & Strategy Support

  • Monitor competitor activities, pricing, products, and customer preferences.
  • Prepare periodic market analysis reports with key findings and recommendations.
  • Share insights with management to support product development and strategic decisions.

E. Customer Feedback Management

  • Use structured forms to gather feedback from customers after sample testing.
  • Maintain detailed feedback records, including performance, pricing, and suggestions.
  • Analyze trends to identify improvement areas or new business opportunities.
  • Escalate critical issues to relevant teams for prompt resolution.

F. Reporting & Documentation

Prepare and maintain comprehensive reports including:

  • Sample Status Reports

    (sample ID, manufacturing stage, lab reports, customer feedback)
  • Market Analysis Reports

    (competitors, trends, customer preferences)
  • Customer Feedback Reports

  • Financial Reports

    (bills paid/pending, receivables, payables, overdue payments)
  • Weekly Sales Reports

    (product-wise, buyer-wise, month-on-month performance)

G. Administrative & Office Support

  • Maintain reminders for payments, sample deadlines, testing schedules.
  • Coordinate office communications, meeting schedules, and operational documentation.
  • Ensure all digital and physical records are well-maintained, accurate, and secure.

4. Required Skills & Qualifications

  • Bachelor’s degree in Accounting, Commerce, Finance, or related field.
  • Experience in textile chemicals/dyes/pigments industry preferred.
  • Strong knowledge of accounting principles and bookkeeping.
  • Proficiency in Tally/ERP systems, MS Excel, and reporting tools.
  • Excellent communication and coordination skills.
  • Ability to multitask and manage time effectively.
  • Attention to detail and problem-solving abilities.
