As the Office Administrator, your role encompasses various responsibilities to ensure the efficient functioning of the office environment. Your duties include: Managing Office Supplies & Budget: - You will be responsible for monitoring office supplies stock levels and placing orders when necessary. - Prepare regular reports detailing expenses and office budgets to maintain financial transparency. Establishing Documentation & Filing System: - Organize and maintain a comprehensive filing system for essential and confidential company documents, such as factory licenses, MPCB documents, electrical files, generator files, fire NOC, and Form VII. - Ensure systematic filing procedures to facilitate easy retrieval of records when needed. Coordinating Office Activities & Scheduling: - Maintain a centralized company calendar and manage appointment scheduling. - Handle the distribution and storage of correspondence, including letters, emails, and packages. - Coordinate travel arrangements and accommodations as required. - Organize administrative and logistical aspects of office activities to ensure smooth operations. Ensuring Policy & Documentation Compliance: - Update policies and procedures as per the company's requirements. - Maintain all administrative documentation and ensure compliance with contracts and regulations. - Oversee records and databases related to worker onboarding, recruitment processes, attendance, and salary maintenance. Supervising Worker Welfare & Coordination: - Address worker-related issues promptly, including concerns related to attire, factory conditions, and amenities. - Coordinate with contractors/vendors for civil work or related tasks. - Conduct regular factory rounds to maintain cleanliness standards and ensure compliance with regulations. Managing Compliance & Liaison Work: - Visit PF, PT, and ESIC offices as needed to ensure regulatory compliance. - Organize monthly security guard meetings with the field officer/owner for effective security management. Overseeing Guest House & Vehicle Maintenance: - Supervise and maintain guest houses in Lote and Chiplun. - Schedule guest house facilities for materials related to the factory. - Ensure timely vehicle maintenance and service schedules to maintain operational efficiency. Additional Responsibilities: - Be prepared to undertake any other assigned tasks as per the organizational requirements to support the smooth functioning of operations.,
