Greeting Visitors: Welcoming and directing visitors, clients, and guests in a friendly and professional manner as they arrive at the office. Answering Phone Calls: Operating the telephone system to answer, screen, and forward calls to the appropriate personnel or departments. Managing Appointments: Maintaining and updating appointment calendars, scheduling meetings, and coordinating conference room bookings. Handling Mail and Deliveries: Receiving, sorting, and distributing incoming mail, packages, and deliveries to appropriate staff. Maintaining Reception Area: Ensuring the reception area is clean, tidy, and presentable, with all necessary stationery and informational materials. Performing Clerical Tasks: Undertaking administrative duties such as filing documents, photocopying, data entry, and maintaining office records. Providing Information: Responding to inquiries from visitors, customers, and employees by phone, email, or in person. Managing Office Supplies: Monitoring the inventory of office and front desk supplies, and placing orders for replacements as needed. Ensuring Office Security: Following security procedures, such as monitoring logbooks and issuing visitor badges, to control access to the office. Coordinating with Other Departments: Assisting other departments with clerical tasks and ensuring smooth communication and continuity between teams.
