Key Responsibilities: 1. Updating booking in the system & quotations This involves entering and maintaining accurate details of shipment bookings in the companys logistics or transportation management system. It includes: Recording customer booking requests, shipment details (such as cargo type, weight, volume, origin, and destination). Generating and sending quotations or price estimates to customers based on their shipment requirements. Ensuring all booking information is up-to-date to avoid errors or delays. Adjusting bookings if there are changes in schedules, availability, or customer requirements. 2. Sending onboard confirmations & Vessel Schedule to customer Once a booking is confirmed and a shipment is allocated to a specific vessel, this task involves: Preparing and sending an official confirmation to the customer, verifying that their cargo is onboard the designated vessel. Providing customers with the vessels sailing schedule, estimated departure and arrival times, and any relevant voyage details. Communicating any changes in schedule promptly to keep customers informed and manage expectations. 3. Vessel planning on daily basis, various report preparations This duty requires active management of vessel operations and involves: Daily planning of vessel loading and unloading operations to optimize space utilization and meet deadlines. Coordinating stowage plans to ensure cargo safety and compliance with regulations. Monitoring vessel status and progress during the voyage. Preparing various reports, such as booking status reports, shipment tracking updates, vessel performance reports, and operational summaries to aid decision-making. 4. Coordination with overseas agents and shippers on the status of shipments This includes continuous communication with international partners and customers to: Provide updates on shipment progress, including loading, transit, and arrival times. Resolve any issues or delays by collaborating with overseas agents and shippers. Ensure compliance with customs, documentation, and other regulatory requirements. Facilitate smooth handover of shipments at origin and destination points.
