Documentation Specialist (Process Documentation) Position Overview We are seeking a Documentation Specialist with strong process documentation skills to create, manage, and maintain high-quality documentation that clearly communicates complex processes, workflows, and procedures. The ideal candidate will have excellent attention to detail, organizational skills, and the ability to collaborate with cross-functional teams to ensure documentation is accurate, standardized, and accessible. Key Responsibilities ● Develop, write, and maintain process documentation , including SOPs, manuals, user guides, workflows, and knowledge base articles. ● Collaborate with subject matter experts (SMEs), process owners, and stakeholders to capture requirements and translate them into clear, structured documentation. ● Standardize and improve documentation formats, templates, and style guides to ensure consistency across all materials . ● Review, edit, and update existing documentation for accuracy, clarity, and compliance with organizational policies. ● Maintain document repositories and ensure version control in line with document management practices . ● Ensure compliance with industry standards, regulations, and quality requirements related to process documentation. ● Train and support team members in using, understanding, and maintaining process documentation . ● Contribute to process improvement initiatives by identifying gaps in documentation and recommending best practices. Required Skills & Qualifications ● Bachelor’s degree in Technical Writing, English, Information Technology, Business Administration, or related field . ● Strong knowledge of documentation tools (MS Office, Google Workspace, SharePoint, Visio, Lucidchart, etc.). ● Excellent written and verbal communication skills with strong attention to detail. ● Ability to understand and document complex processes and workflows . ● Experience with document control, compliance standards, and version management . ● Strong organizational and time management skills with the ability to manage multiple projects. Preferred Qualifications ● Familiarity with ISO, GDPR, HIPAA, or other regulatory frameworks . ● Knowledge of process improvement methodologies (Lean, Six Sigma, etc.). ● Ability to create visual process maps and flowcharts .
