Key Responsibilities Front Desk Management • Greet clients, visitors, and employees in a professional and friendly manner. • Manage incoming calls, emails, and correspondence, ensuring timely responses and follow-ups. • Maintain a well-organized reception area, ensuring it reflects the firm's professionalism. • Coordinate meetings, manage appointments, and handle the conference room schedule. • Maintain and update employee records, ensuring confidentiality and accuracy. • Support onboarding and induction processes for new hires. • Monitor attendance, leave records, and prepare monthly reports. Administrative Duties • Oversee office supplies and ensure the inventory is well-stocked. • Coordinate with vendors for office maintenance and repairs. • Handle travel arrangements, hotel bookings, and transportation for employees and guests. • Maintain and update administrative records, ensuring compliance with company policies. • Assist in organizing firm events, meetings, and workshops. Qualifications and Skills • 1-3 years of experience in front desk, or administrative roles (experience in a law firm is an advantage). • Proficient in MS Office Suite (Word, Excel, PowerPoint). • Strong communication and interpersonal skills. • Ability to multitask and prioritize tasks efficiently. • Attention to detail and a high degree of professionalism.
