The Admin/Executive Assistant provides high-level administrative support to the [CEO/Executive Team] by managing schedules, coordinating meetings, handling confidential information, preparing reports, and ensuring efficient communication and workflow across the organization. This role requires exceptional organizational skills, professionalism, discretion, and the ability to anticipate the needs of senior leadership. Key ResponsibilitiesAdministrative Support Manage complex calendars, scheduling meetings, appointments, and travel arrangements. Prioritize and manage multiple projects simultaneously with strong attention to detail. Draft, review, and manage correspondence, memos, presentations, and reports. Handle confidential information with discretion and professionalism. Communication & Coordination Act as a liaison between the executive(s) and internal/external stakeholders. Prepare meeting agendas, take minutes, and ensure follow-ups on action items. Manage internal communications and facilitate efficient information flow. Project Management Support strategic initiatives and track progress on key deliverables. Conduct research, prepare briefing materials, and summarize reports for decision-making. Assist in organizing company events, board meetings, and executive offsites. Operational & Logistical Support Oversee travel planning, including flights, accommodations, visas, and itineraries. Process expense reports and reimbursements accurately and timely. Maintain records, databases, and filing systems (digital and physical).
