Shimadzu Japan for Weighing Balance The Back Office Support professional is responsible for providing comprehensive administrative and technical support for all sales-related documentation, with a primary focus on preparing quotations, managing tender submissions, and handling all activities related to the Government e-Marketplace (GeM) portal. This role ensures timely, accurate, and compliant submission of all commercial proposals to prospective and existing clients. Key Responsibilities: 1. Quotation & Proposal Management: Prepare and draft commercial quotations, sales proposals, and proforma invoices based on inputs from the sales team. Ensure all pricing, product specifications, terms and conditions, and delivery timelines are accurately reflected. Maintain a systematic record of all generated quotations and follow up on their status. Liaise with the sales team to customize proposals as per client requirements. 2. Tender & Bid Submission: Monitor various government and private portals for new tender opportunities relevant to the company's products/services. Thoroughly read and understand tender documents, including eligibility criteria, technical specifications, and commercial terms. Coordinate with internal departments (e.g., technical, finance, legal) to gather necessary documents and information. Prepare and compile all required documentation for bid submission (e.g., technical bid, commercial bid, EMD/Bid security, technical drawings, company certificates). Ensure timely and compliant submission of all tenders, both online and offline. Track the status of submitted tenders and assist in post-submission queries or clarifications. 3. Government e-Marketplace (GeM) Operations: Manage the company's profile and catalog on the GeM portal. Upload new products, update existing product details, and ensure all information is current and accurate. Actively search for and participate in GeM tender opportunities and direct purchase bids. Prepare and submit bids on the GeM portal, ensuring all technical and financial requirements are met. Generate invoices and manage post-award contract documentation on the GeM platform. Stay updated on all new policies, procedures, and updates related to the GeM portal. 4. General Administrative & Sales Support: Maintain and organize all sales-related documentation, both physical and digital. Assist in preparing sales reports, presentations, and other commercial documents. Handle communication with clients regarding documentation and submission status.
