Sampling Executive / Sampling Coordinator

Key Responsibilities:

1. Handling Sample Requests:

o Receive sample requests from Sales/CRM team or directly from customers.

o Log all incoming sample requests and maintain tracking until delivery is completed.

o Coordinate with warehouse/production team for material availability.

2. Packaging & Dispatch Coordination:

o Ensure proper, safe, and compliant packaging of chemical samples.

o Handle end-to-end dispatch process through courier/logistics partners (DHL, DTDC, etc.).

o Follow up for delivery status and update internal teams and customers accordingly.

3. Documentation & Reporting:

o Prepare all necessary shipping documents like sample invoices, packing lists, dispatch notes, etc.

o Maintain a daily report (MIS) of all sample dispatches and share with management.

o Ensure accurate data entry and record-keeping in internal systems.

4. Inventory Management (Samples & Packing Materials):

o Track and manage sample stock levels and initiate replenishment requests proactively.

o Maintain clean, well-labeled, and organized inventory of samples and packaging materials.

5. System & Software Use:

o Use internal systems (MIS, Excel) efficiently for sample tracking and documentation.

o Update sample dispatch data in real time and ensure 100% accuracy.

6. Communication & Coordination:

o Communicate effectively in English (verbal and written) with internal departments and external courier agencies.

o Respond professionally to emails and calls regarding sample status and delivery timelines.

7. Quality & Accuracy:

o Ensure correct product, quantity, and labeling as per customer request.

o Raise flags for any quality mismatch or discrepancy before dispatch.

Required Qualifications:

· Graduate (Science or Commerce background preferred)

· Fresher with strong communication skills and system knowledge can also be considered

Key Skills:

· ✅ Strong working knowledge of computers, Excel, and email systems

· ✅ Excellent English communication – reading, writing, and speaking

· ✅ Basic understanding of chemical products and safe handling practices

· ✅ Strong follow-up, organizational, and coordination abilities

✅ Attention to detail and accuracy in documentation

Job Types: Full-time, Permanent, Fresher

Pay: ₹18,000.00 - ₹22,000.00 per month
