Sales Coordinator

We are seeking a results-driven Sales Coordinator to drive sales and support the Sales team across the complete sales-to-collection cycle. This is a customer-facing role suited to a confident communicator with a strong sales mindset and a commitment to customer service.

The Sales Coordinator will manage customer calls and enquiries, negotiate prices, prepare quotations and book orders through Zoho CRM, and follow through on payments and collections. The role also involves recording receipts in Tally, maintaining sales and collection reports, and ensuring every customer receives a prompt, professional and consistent experience.

Key Responsibilities:

Lead Handling & Order Booking

● Handle inbound customer calls and walk-in enquiries, providing accurate information on APCO’s products, specifications, pricing and availability.

● Understand customer requirements and recommend suitable products and quantities to convert enquiries into confirmed orders.

● Negotiate prices with customers within approved pricing and discount limits, and close deals in coordination with the Sales Manager.

● Promote advance-payment order bookings and secure order confirmations with agreed payment terms.

● Book customer orders in Zoho, update payment details and follow up until payment is received.

● Track website and telephone enquiries and allocate leads to sales executives and the sales office on a round-robin basis through Zoho.

● Follow up regularly on pending quotations and prospective customers to maximise conversion.

● Coordinate with the dispatch and logistics team on delivery schedules and keep customers informed of order status.

Quotations & Documentation

● Prepare accurate quotations in Zoho (or manually, where required) and share them with customers promptly.

● Record all leads, quotations, orders and customer interactions in Zoho CRM and keep the sales pipeline current.

● Prepare and issue Proforma Invoices to customers and sales executives on request.

● Maintain order forms, purchase orders and test reports, and ensure all sales documentation is filed daily.

● Maintain inward registers, including the courier register.

● Liaise regularly with the Accounts team on receipt entries, refunds and related reconciliations.

Collections & Accounts Support

● Issue cash receipts for all day-to-day customer collections.

● Issue debit and credit card receipts for daily collections and update them in the respective customer ledgers.

● Enter all customer receipts and collections in Tally accurately on the same day.

● Send customer outstanding statements by email as and when required.

● Follow up with customers on pending payments and outstanding dues to ensure timely collection.

● Prepare and maintain daily, weekly and monthly reports on sales, order bookings, collections and outstandings for management review.

Customer Service & Communication

● Address customer complaints courteously and resolve them promptly, clearly explaining pricing and product quality to the customer’s satisfaction.

● Monitor the sales inbox and respond to customer emails promptly and professionally.

● Update negotiated rates in the product management system and maintain accurate customer profiles.

Pay: ₹20,000.00 - ₹25,000.00 per month
