Job Responsibilities of an Accounts Executive in Hotel Industry1. Financial Record Keeping - Maintain accurate records of daily financial transactions (sales, purchases, expenses, etc.). - Record and reconcile revenue from different hotel outlets (rooms, restaurant, bar, spa, banquet hall, etc.). - Ensure proper documentation of invoices, vouchers, and receipts. 2. Accounts Payable & Receivable - Prepare and process supplier/vendor bills and ensure timely payments. - Track accounts receivable from corporate clients, travel agents, and event organizers. - Follow up on outstanding payments and reconcile customer accounts. 3. Payroll & Staff Benefits - Assist in payroll processing for hotel staff, including salaries, overtime, and incentives. - Manage statutory deductions (PF, ESI, TDS, professional tax, etc.). - Keep employee reimbursement claims and allowances updated. 4. Bank & Cash Management - Handle daily cash and bank transactions, including deposits and withdrawals. - Reconcile bank statements with internal financial records. - Monitor petty cash and ensure proper authorization for expenses. 5. Financial Reporting - Prepare daily, weekly, and monthly revenue and expense reports. - Support the Finance Manager/Chief Accountant in preparing profit & loss statements, balance sheets, and MIS reports. - Assist in budgeting, forecasting, and variance analysis. 6. Internal Control & Compliance - Ensure compliance with hotel accounting policies, tax regulations, and statutory laws. - Support in internal and external audits by providing necessary records. - Implement financial control systems to prevent revenue leakage or fraud. 7. Guest Billing & Credit Control - Oversee guest folios, billing accuracy, and settlement at check-out. - Handle disputes or discrepancies in guest bills. - Manage credit facilities for regular corporate clients and travel agencies. 8. Coordination & Support - Work closely with Front Office, F&B, Sales, and Banquet teams for billing and revenue entries. - Liaise with suppliers and banks for account-related issues. - Support management with financial insights for decision-making.
