While not directly involved in managing bids, the role plays a key part in ensuring high-quality, consistent, and timely questionnaire responses. This includes gathering information from internal stakeholders, leveraging AI tools to draft content, and building a reusable content library to streamline future responses. The role will also lead a short-term research project to analyse the volume and variety of questionnaires received, helping inform future process improvements. This is a six-month temporary position reporting to the Manager of Bid Management. Key responsibilities: Use RFP response software (Loopio) to complete customer questionnaires, ensuring accurate and timely submissions Gather and organise information from subject matter experts across the business to support questionnaire responses Leverage AI tools (including features within Loopio) to draft and refine high-quality responses Populate and maintain a structured content library in Loopio to support efficient response reuse and consistency Review previously completed customer questionnaires and import relevant content into the response platform Design and implement reusable document templates and export themes to improve presentation and standardisation of questionnaire submissions Conduct a short-term research project to analyse the volume and types of questionnaires received across the business Collaborate with internal teams to identify common response patterns and opportunities for automation or standardisation Maintain organised records of questionnaire activities, ensuring knowledge capture and process improvement over time Skills/experience: Proven experience completing structured forms, questionnaires, or documentation in a professional or administrative setting Strong skills in information gathering from internal stakeholders and consolidating into clear, concise responses Strong attention to detail with the ability to follow formatting and submission requirements precisely Confident using productivity tools such as Microsoft Word, Excel, PowerPoint, and PDF editors Excellent English written communication skills, with the ability to tailor content for different audiences Strong organisational and time management skills; able to handle multiple questionnaire deadlines at once Nice to have skills/experience: Familiarity with RFP/RFI processes and tools, ideally with experience using Loopio or similar bid response software (e.g., RFPIO, RFP360, etc.) Comfortable using AI-assisted writing tools to generate or refine content Experience maintaining and organising content libraries, knowledge bases, or structured document repositories Experience creating document templates or styled outputs for professional use Experience conducting light research or process analysis, ideally involving document or workflow audits Person specification: Detail-oriented and methodical, with a focus on accuracy and consistency in written work Strong communicator, confident in gathering information from a variety of stakeholders across the business Proactive and self-motivated, with the ability to manage tasks independently and meet tight deadlines Comfortable learning and working with digital tools, including AI-assisted writing platforms and content management systems Able to understand and synthesize complex information into clear, customer-friendly language Organised and structured in approach, with good time management and task prioritisation skills Flexible and adaptable, with a willingness to take on a variety of tasks in a fast-paced environment Collaborative mindset with a positive, can-do attitude Curious and analytical, with an interest in improving processes and capturing insights from data Professional and discreet when handling sensitive or internal business information Success measures: A clear understanding and documented analysis of the volume and types of customer questionnaires received across the business A reliable internal stakeholder map showing who to approach for specific types of information or subject matter expertise Average time to complete a questionnaire is tracked, benchmarked, and reduced through better processes and content reuse A well-organised, high-quality content repository in Loopio, enabling faster and more consistent questionnaire responses Loopios machine learning recommendations show measurable improvement in relevance and accuracy due to well-tagged and frequently used content All previously completed questionnaires are reviewed, categorised, and imported into the content library where relevant Reusable export templates and branded document themes are created and successfully adopted A basic but useful reporting framework is in place to track questionnaire activity, completion times, and usage of AI/autofill tools (Loopio) Questionnaire completion becomes more efficient and consistent, even when handled by different team members Internal feedback indicates improved confidence and satisfaction with the questionnaire response process
