Job Summary We are seeking a detail-oriented and strategic RFP Specialist to manage and execute the end-to-end response process for RFPs, RFIs, RFQs, and security questionnaires. The ideal candidate will collaborate with cross-functional teams to craft compelling, compliant, and customized proposals that help win new business and retain existing clients. Role & responsibilities RFP Management: Lead the development, coordination, and timely submission of responses to RFPs, RFIs, and other proposal requests. Content Development: Write, edit, and format persuasive content that aligns with client needs, company capabilities, and value propositions. Collaboration: Work closely with sales, subject matter experts (SMEs), product, legal, finance, and operations to gather required information. Compliance & Accuracy: Ensure all proposals meet client requirements and comply with internal policies and industry regulations. Content Library Management: Maintain and update a knowledge base of standard proposal content, templates, case studies, and FAQs. Proposal Strategy: Help develop win themes and competitive messaging tailored to each opportunity. Process Improvement: Identify and implement enhancements in the proposal process to increase efficiency and success rate. Reporting: Track proposal activity, submission deadlines, win/loss ratios, and provide insights to sales leadership. Preferred candidate profile Bachelors degree in Business, Marketing, Communications, or a related field. 2-7 years of experience in a similar proposal, bids, or RFP writing role. Strong writing, editing, and proofreading skills with an ability to convey technical information clearly. Proficiency in Microsoft Office Suite, especially Word and PowerPoint; experience with RFP software tools.

Key Responsibilities: Client Pre-Sales Engagement Lead initial client interactions, understand client needs, and effectively communicate capabilities and strengths. Collect detailed business requirements through client meetings, workshops, and discovery sessions. Prepare compelling client presentations, proposals, and RFP responses. Leadership Experience (New Builds) Must have successfully led multiple software development projects (pre-sales) from scratch, working on completely new client requirements or new product ideas (not just maintenance or enhancement projects). Demonstrate ability to shape raw client concepts into structured, documented requirements ready for development. Provide examples of past projects where you translated a clients vision into an actionable, signed-off project scope. Documentation & Requirement Management (Core BA Work) As the Senior BA, you will own and prepare the following key documents : Business Requirement Document (BRD) Functional Requirement Document (FRD) Scope of Work (SOW) Wireframes, Mockups, Prototypes User Stories / Use Cases Software Requirements Specification (SRS) Proposals and RFP Responses Sign-off Documents from clients Additionally, you will: Ensure documents are detailed, accurate, and aligned with client expectations. Work closely with technical team to ensure feasibility and with QA team to ensure testability. Maintain traceability of requirements through the project lifecycle. Liaison Between Client & Technical Team Manage and clarify queries raised by the technical team. Act as the single point of contact for requirement-related discussions during pre-sales and early project phases until kick-off / handover to Ops team. Project Management Support: Keep a tab on the progress/deliverables, keep informal touch points with Client SPOC, raise flags in case of any drift In formals Client/Project Health check Tools and Technology: Use project management tools (such as JIRA, Azure DevOps, Trello, or similar) to track tasks, requirements, and progress. Leverage AI tools (such as ChatGPT, Copilot, or other generative AI) to improve document preparation, create client-facing artifacts, or enhance analysis work. Personal Traits & Soft Skills: Quick learner with a passion for mastering new tools, technologies, and domains. Highly proactive, self-starter, able to take full ownership of tasks and client interactions. Keen attention to detail and a structured approach to problem-solving. Strong collaboration and interpersonal skills; able to manage diverse stakeholder groups. Curiosity-driven mindset, always looking for ways to improve processes and deliverables. Excellent organizational and time management abilities. Required Skills & Experience: Proven experience (8+ years) as a Business Analyst in software development or IT services, especially in client-facing roles. Hard core hands-on is the need not a lead/manager or want to be a lead/manager. Strong background in pre-sales, client presentations, and proposal preparation. Expertise in preparing: BRD, FRD, SRS Scope Documents, SOW Wireframes, Mockups, Prototypes User Stories, Use Cases Proposals, RFP responses, and Sign-off documents Excellent written and verbal communication skills; able to engage confidently with foreign clients (especially US clients). Strong collaboration and Stakeholder mgmt. skills Domain knowledge in US Healthcare and or EHS/ESG is a strong plus. Familiarity with Agile methodologies, tools, and project management processes is a plus. Strong analytical and problem-solving skills, with the ability to handle multiple client engagements simultaneously.
