Job Description

Role Summary

The Receptionist acts as the first point of contact for all visitors, guests, and callers — representing the institution with professionalism, warmth, and efficiency. The role ensures smooth day-to-day front-office operations, effective coordination with departments, and a welcoming experience for students, parents, vendors, and partners.

KRA: Task / Activities

Front Office Management

Handle all incoming calls, emails, and walk-in visitors; maintain visitor log and ensure hospitality.

Communication & Coordination

Route messages and calls to appropriate departments; maintain communication between front desk and internal teams.

Administration & Documentation

Manage courier dispatches, receive documents, maintain front office supplies, update contact lists.

Customer / Guest Experience

Ensure prompt response, maintain professionalism, and provide accurate information to all visitors.

Facility & Support Coordination

Liaise with housekeeping, security, and admin staff to maintain a clean and efficient reception area.

Record Keeping

Maintain records of daily visitors, inquiries, and calls; prepare basic MIS for admin reports.

Skills & Attitude (A in BARE Fit)

Required Skills

· Excellent verbal & written communication in English and Hindi

· Professional telephone and in-person etiquette

· Proficiency in MS Office (Word, Excel, Outlook)

· Ability to multitask and manage multiple visitors simultaneously

  • Pleasant personality with strong interpersonal skills

Preferred skills

· Prior experience in educational institutions or corporate front office roles

· Knowledge of basic administration or coordination processes

  • Familiarity with visitor management software
