Role & responsibilities Basic understanding of construction documents Maintain confidentiality around sensitive information and terms of agreement - BOQ/TS Preparing and updating document control procedures for the company making sure that departments are following the correct procedures in the document flow process Maintain controlled documentation and correspondence to ensure a current up-to-date document control system Identifying and numbering documents that come into the department or organization Following and improving document control procedures as per Quality management system (QMS) Conducting regular reviews and document audits as per ISO Distributing documents to the relevant people, departments, or organization, and letting them know when they need to take action on a document as part of a process Ensure documents are shared at key times to facilitate timely project completion Copy, scan, and store documents. File documents in physical and digital records Distribute project-related copies to internal teams Reviewing documents, checking they comply with regulations, creating revisions and archiving outdated versions creating master document templates and forms, and training employees how to use them Assist with the review process for project-controlled documentation in line with project procedures Assist with the approval procedure to receive sign off on project-controlled documentation Ensure all reports and correspondence are completed on time Keeping track of important project documents like project plans, WMS, QAP/ITP and mix design. Submission of documents (Checklist/Reports/Material/Inspections) Perform other duties as and when needed
