Job Title: Officer – Documentation (QA)
Department: Quality Assurance
Experience: 0 – 1.5 years

Job Summary

The Officer – Documentation (QA) will be responsible for the issuance, retrieval, control, and archival of all quality-related documents as per company standards and regulatory requirements. The role ensures accuracy, compliance, and timely documentation management for smooth QA operations.

Key Responsibilities

1. Documentation Issuance & Control

  • Issue controlled documents (SOPs, BMRs, BPRs, formats, logs) as per approved requests.
  • Maintain document numbering, version control, and distribution records.
  • Ensure only current and approved versions of documents are in circulation.

2. Document Retrieval & Tracking

  • Retrieve completed documents from various departments as per defined timelines.
  • Maintain logs for document movement, pending documents, and follow-up for completion.
  • Support audits by providing requested documents in a timely manner.

3. Archival & Record Management

  • Archive completed records in an organized manner with proper labeling and indexing.
  • Maintain document storage conditions as per company standards.
  • Ensure retrieval of archived documents as required for internal/external audits.

4. Compliance & Quality Systems Support

  • Assist in implementation of documentation control procedures as per ISO/GMP guidelines.
  • Identify gaps or errors in documents and escalate for correction.
  • Support change control, deviation, CAPA documentation as needed.

5. Coordination & Communication

  • Coordinate with Production, QA, QC, Engineering, Warehouse, and other departments for documentation needs.
  • Ensure timely communication for issuance and return of documents.

Required Skills & Competencies

  • Good understanding of QA documentation procedures (preferred).
  • Attention to detail and accuracy in record-keeping.
  • Basic knowledge of GMP/ISO standards (added advantage).
  • Proficiency in MS Office (Word, Excel).
  • Strong organizational and coordination skills.
  • Good written and verbal communication.

Qualification

  • B.Sc / M.Sc / B.Pharm / Any relevant degree.
  • Freshers to 1.5 years of experience in documentation or QA.

Job Type: Full-time

Pay: ₹20,000.00 - ₹30,000.00 per month
