Job Overview We are seeking a proactive and detail-oriented Client Services & Operations Coordinator to join our dynamic team. In this role, you will support client onboarding, document management, CRM workflow coordination, and internal/external communications. You will be the liaison between clients, tax teams, and internal stakeholders to ensure seamless service delivery and timely project execution. Key Responsibilities Collaborate with cross-functional teams to manage financial projects using our CRM. Interact with prospects and clients to provide accurate and timely information. Onboard new clients, guide them through portal access, and ensure document readiness. Collect, request, and follow up on client documentation for task completion. Coordinate with the Tax Team, update dashboards, and adjust workflows in CRM. Respond to client inquiries and escalate urgent matters to the CPA or Tax Manager. Generate, send, and follow up on invoices and payment statuses. Prepare and distribute engagement letters, draft tax returns, and Form 8879 using Drake Software. Manage internal communications and task tracking via Slack. Create and post engaging content on social media platforms using Canva. Schedule and manage client meetings, including reminders and follow-ups. Lead daily morning huddles to report progress and prioritize tasks. Ensure all tasks are completed on time and escalate pending issues as needed. Handle incoming calls via RingCentral and route them appropriately. Minimum 4 years of experience in administrative support or client coordination. Experience in a Public Accounting or Professional Services firm is a strong plus. Strong understanding of tax-related terms, documents, and workflows. Excellent written and verbal communication skills. Ability to thrive in a fast-paced, high-volume environment. Willingness to work overtime and handle urgent tasks as needed. Self-starter with the ability to work independently and as part of a team. Highly organized with excellent attention to detail and deadline tracking. Able to multitask and manage several projects simultaneously with urgency and focus.
