Job Summary: As an Accommodation Services Coordinator, you will play a vital role in facilitating seamless accommodation arrangements for employees during the recruitment process. Your primary responsibility will be to ensure that customer have comfortable and appropriate lodging during their stay, creating a positive experience that reflects positively on our organization. You will collaborate with internal teams, external vendors, and client to coordinate all aspects of accommodation services. Key Responsibilities: Customer Accommodation Coordination: Work closely with the recruitment team to identify the accommodation needs of Clients. Coordinate and book hotel accommodations, ensuring they align with the budget and meet the required standards. Communicate effectively with Clients to gather preferences and special requirements. Vendor Management: Establish and maintain relationships with accommodation providers, negotiating rates and ensuring high-quality services. Collaborate with travel agencies or booking platforms to secure the best deals for accommodations. Logistical Planning: Develop and implement effective processes for booking, tracking, and managing accommodation arrangements. Provide detailed itineraries to Clients, including check-in/check-out procedures and any additional relevant information. Budget Management: Monitor and manage the accommodation budget, ensuring cost-effectiveness while maintaining quality standards. Keep detailed records of all accommodation-related expenses and provide regular reports to the finance department. Quality Assurance: Conduct regular checks to ensure that accommodations meet the expected standards of comfort, cleanliness, and safety. Address and resolve any issues or complaints related to accommodations promptly and effectively. Communication: Serve as the main point of contact for Clients regarding accommodation-related inquiries. Collaborate with internal stakeholders, including HR, travel, and recruitment teams, to ensure a coordinated approach to client services. Compliance: Stay updated on relevant laws and regulations related to accommodation services. Ensure that all accommodation arrangements comply with company policies and legal requirements. Qualifications: Bachelor's degree in hospitality management, business administration, or a related field. Proven experience in accommodation coordination, travel management, or a related role. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Negotiation skills for securing cost-effective accommodation options. Knowledge of relevant laws and regulations related to accommodation services. Preferred Skills: Familiarity with travel and accommodation booking platforms. Proficiency in using relevant software and tools for budget tracking and reporting. Problem-solving skills and the ability to handle unexpected issues with composure.
