As a Procurement Executive , you will be responsible for executing procurement activities, including sourcing, vendor management, negotiation, and purchase order processing. You will work closely with various departments to understand their material and service requirements, ensure timely procurement, and contribute to cost savings while maintaining quality standards. This role requires strong organizational skills, attention to detail, and good communication abilities. Responsibilities Sourcing & Vendor Management: Identify potential suppliers for required goods, materials, and services based on specifications and business needs. Maintain and update a robust database of approved vendors and their capabilities. Assist in evaluating supplier performance based on quality, delivery, and cost. Develop and maintain strong relationships with suppliers. Quotation & Negotiation: Issue Request for Quotations (RFQs) , tenders, or proposals to suppliers. Collect and compare quotations, negotiating prices, terms, and delivery schedules to achieve the best value. Prepare comparative statements and present recommendations for vendor selection. Purchase Order Management: Prepare and issue Purchase Orders (POs) accurately and in a timely manner, ensuring all terms and conditions are clearly defined. Follow up with suppliers to ensure on-time delivery of ordered goods and services. Coordinate with the receiving department to ensure accurate inwarding of materials. Address and resolve issues related to non-conforming materials, delayed deliveries, or incorrect invoices. Documentation & Record Keeping: Maintain comprehensive procurement records, including purchase orders, contracts, supplier agreements, and delivery challans. Ensure all procurement documentation complies with company policies and audit requirements. Cross-functional Collaboration: Collaborate closely with internal departments such as Production, Stores, Quality Control, and Finance to understand their requirements and ensure smooth procurement processes. Provide status updates on purchase orders and material availability. Cost Control & Efficiency: Identify opportunities for cost savings and efficiency improvements in procurement processes. Monitor market trends and commodity prices to make informed purchasing decisions.
