Job Description Job Title: MIS Executive, Department: Operations Location: Dalhousie, Kolkata Reporting To: Managing Director / Partner Position Overview: We are seeking a detail-oriented and proactive MIS Executive to support our business operations by preparing, analyzing, and maintaining cost-related data and management reports. The ideal candidate will have a strong grasp of basic financial reporting, proficiency in MS Office tools, and the flexibility to travel to vendor sites, warehouses, and other operational locations as needed. This role plays a vital part in ensuring data accuracy and supporting strategic business decisions. Key Responsibilities : 1. Cost Sheet Preparation & Analysis Prepare and maintain accurate and detailed cost sheets for tea and related products, covering all relevant cost components such as raw material, packaging, processing, logistics, and overheads. Perform comparative cost analysis to track cost performance over time and identify anomalies or potential savings. Coordinate with procurement and finance teams to validate cost inputs and ensure consistency across systems. 2. MIS Reporting & Dashboard Management Develop, update, and manage Management Information System (MIS) reports and dashboards that provide actionable insights for business decision-making. Create standardized formats for routine reports (daily, weekly, monthly) as well as custom reports for strategic or operational needs. Use visual tools (charts, graphs, pivot tables) to present complex data in a simplified and easy-to-understand format for various departments. Implement automation where possible to reduce manual work and increase reporting efficiency. 3. Internal & External Collaboration Liaise with internal departments (Finance, Operations, Procurement, Sales) to gather and validate required data for reporting and costing. Ensure smooth data flow across systems and teams, minimizing errors and time lags in data availability. 4. Field Visits & Operational Verification Conduct periodic visits to vendor premises, warehouses, and other operational sites to verify data and assess ground-level realities. Carry out spot audits or physical stock validations to reconcile with system records and identify gaps or discrepancies. Attend meetings and walkthroughs with field teams to collect firsthand insights for inclusion in MIS reports. 5. Software & Data Tool Utilization Utilize MS Excel extensively for data entry, analysis, pivot reporting, and dashboard creation. Draft formal reports, cost summaries, and audit responses using MS Word. Adapt quickly to new business software or ERP tools implemented within the organization. Ensure all software-based reports are organized, version-controlled, and archived for future reference. 6. Reporting Cycles & Business Analysis Support Support periodic reporting cycles such as month-end, quarter-end, and year-end MIS closures by consolidating, validating, and submitting required data. Assist in budget preparation, cost forecasting, and review exercises by supplying relevant and accurate inputs. Provide data-driven inputs for internal performance reviews and financial health assessments. 7. Process Improvement & Reporting Enhancements Evaluate existing reporting mechanisms for inefficiencies or redundancies and propose improvements or automation opportunities. Work with IT or reporting teams to implement changes that lead to more reliable, timely, and insightful reporting. Stay updated with best practices in MIS and reporting, and apply them to enhance overall reporting standards. 8. Data Integrity & Compliance Ensure all MIS data is accurate, up-to-date, and stored securely in compliance with internal data governance policies. Maintain confidentiality of sensitive business data and prevent unauthorized access or sharing. Follow audit and documentation protocols to ensure traceability of data sources and calculations. Candidate Qualification and Skills: Bachelors degree in Commerce, Business Administration, or a related discipline. 03 years of relevant experience in MIS reporting, costing, or data management roles.( Freshers are also welcome with Basic Excel and Word proficiency, willingness to learn ) Proficiency in MS Excel (including functions such as VLOOKUP, pivot tables, charts) and MS Word . Strong analytical and problem-solving skills with a keen eye for detail. Demonstrated ability to learn new tools and software applications quickly. Effective communication and interpersonal skills for working across teams. Willingness and flexibility to travel to vendor locations, warehouses, and other sites as required. Preferred Skills: Experience in the tea industry , FMCG, agriculture, or related sectors. Familiarity with ERP systems or reporting tools.
