Facility Executive - Technical JLL is seeking a skilled and proactive Facility Executive - Technical to oversee the complete engineering and maintenance requirements of a facility. This critical role ensures 100% uptime of all vital equipment, coordinates with vendors, and implements robust operational and safety procedures in a 24x7 environment. Positions Goal: To oversee complete engineering and maintenance requirements of the facility, ensuring 100% uptime of all critical equipment and coordinating with vendors for AMC services. Deliverable Role/Responsibilities: Operational & Maintenance Oversight : Take handover from the previous shift. Monitor and maintain all M&E (Mechanical & Electrical) related equipment , including Electrical Systems, UPS, Lifts, HVAC, Precision A/C, Fire Fighting, Plumbing, Carpentry, etc. Conduct daily internal walkthroughs to ensure all fixtures and fittings are in good order. Procedure Implementation : Establish Engineering & Operational procedures and roll them out for site staff. Periodically inspect log books, checklists, PPM schedules, SOPs, and EOPs for effective engineering management. Work towards ZERO downtime and set up practices to ensure seamless service delivery. Compliance & Audits : Establish contacts with local authorities for facility-related issues and maintain relationships. Responsible for all legal & statutory compliances pertaining to facility & engineering operations. Carry out Technical Audits for all installations at periodical intervals. Implement and manage an audit program to minimize risk exposure. Ensure compliance with statutory regulations on fire, health, and safety standards . Project & Vendor Management : Manage the M&E scope of projects to ensure quality and timely deliverables. Review the maintenance/service practices of M&E contracts to ensure quality work practices aligned with manufacturer recommendations. Responsible for establishing maintenance contracts to mitigate risks to client operations. Coordinate/monitor with the landlord and action areas controlled by them. Oversee M&E vendor operations and ensure adherence to SLAs. Planning & Inventory : Plan and take responsibility for the smooth operations of all mechanical, electrical, plumbing installations, and civil works. Responsible for planning a critical spares list for all installations as per manufacturer recommendations and managing inventory. System & Portal Management : Responsible for managing the 360 portal for PPM activity closures, IDEA portal for EHS & IHS compliance, CEWA portal for projects/M&E approvals and incident reporting (CFIR), CAP Training Program portal for team training, and Helpdesk portal for tracking/updating BMS work order closures. Manage group email IDs for monitoring team responses to associate BMS assistance emails. Raise GRN, RGP, NRGP in the security portal for any spares/assets movement. Reporting & Documentation : Prepare various reports including weekend activity, Monthly Engineering Scorecard, Monthly Return, EHS Report, UPS Load details, Resilience Report, Daily Report, Vendor Scorecard, daily work order tracker, and monthly M&E reports (covering maintenance contracts, spare parts, consumption, incident reports). Report on job progress, schedules, and status. Responsible for maintaining all building-related drawings. Energy & Cost Management : Implement the energy management program to reduce utility costs. Develop and implement innovative programs and processes that reduce utility costs, increase productivity, and generate savings. Initiate strategies to achieve measurable improvements in energy consumption. Conduct inspections on energy conservation, maintenance practices, utility management, and risk management procedures. Hands-on Maintenance : Perform handyman work including carpentry, painting, drywall, plaster, miscellaneous electrical works, minor plumbing repairs, and door repair/replacements. Safety Procedures : Implement LOTO (Lockout/Tagout) procedures and various other safety procedures. Ensure all safety procedures, including crisis management/business continuity and emergency procedures, are maintained at all times. Ensure service delivery teams and on-site contractors undergo a Health and Safety Induction. Financial & Administrative Support : Provide administrative support to Facilities Management, ensuring timely and accurate completion of BMS reports. Process all vendor invoices for payment, tracking, verifying, and filing all JLL and BMS vendor-related invoices. Liaise with the client Finance team for vendor tax exemption documents.
