Roles and Responsibilities As an HR Associate, your responsibilities include, but are not limited to: Recruitment & Onboarding ● Coordinate recruitment processes including liaison with the management team to understand HR needs, job posting, scheduling interviews, and communicating with candidates. ● Liaise with the Communications Associate to ensure openings are posted on all relevant platforms. ● Support preparation of job descriptions in coordination with hiring managers. ● Conduct reference checks and ensure smooth onboarding of new employees including document collection and induction scheduling. Company Organisational Chart ● Ensure the company’s organisational chart is up to date and that each role is linked to an up to date Job Description. ● Update and share the organisational chart as and when required (for example, to existing or new funders or partners). Employee Records & HR Data Management ● Maintain accurate and up-to-date employee records both digitally and physically. ● Support preparation of employment contracts, confirmation letters, and other HR documents as required. ● Manage HR databases ensuring data confidentiality and accuracy. ● Lead on the management and set up of Oorja’s HR Management System (HRMS), including potential transitions to a new HRMS, liaising with the technical support team of Oorja’s HRMS, ensuring all records are kept to up to date and are accurate, etc. Performance Management Support ● Assist in scheduling and tracking probation reviews and annual appraisals. ● Coordinate performance documentation and maintain performance review records. ● Ensure Objectives and Key Results (OKRs) and Key Performance Indicators (KPIs) are tracked accurately by the line managers or by the HR Associate in up to date tracking sheets. Employee Engagement & Communication ● Support planning and implementation of employee engagement initiatives. ● Assist in internal communication and HR policy dissemination, as well as any other policies as applicable. ● Lead on employee training for new policies and procedures. ● Lead on providing orientation meetings to all new employees and consultants, including outlining all policies as relevant, onboarding new employees on the company’s HRMS, and any other support as relevant. Compliance & Administration ● Manage all Payroll-related processes, including monthly salary and bonus payments to all employees, consultants and other service providers as required. ● Coordinate with the company’s CEO, CFO and Finance Manager to ensure accurate payroll processing is performed within the established deadlines on a monthly basis for salary payments and bonus payments where applicable, on a rolling basis for expense payments and on a yearly basis for performance-incentive payments. ● Maintain compliance with Indian labour laws including EPF and ESI. ● Ensure timely enrollment, contribution tracking, and documentation related to EPF and ESI schemes. ● Ensure HR processes comply with organisational policies and applicable labour regulations. ● Support HR team in administrative tasks, record keeping, and policy updates. Qualifications & Skills: ● Bachelor’s degree in Human Resources, Business Administration, or related field. ● Minimum 2-3 years of relevant professional HR experience. ● Strong organisational and time management skills with attention to detail. ● Experience managing HR Management Systems and coordinating recruitment and Human Resource Management for large teams (40-150 people ideally). ● Strong knowledge and understanding of EPF and ESI schemes. ● Strong knowledge and understanding of Indian Labour law and regulations. ● Excellent verbal and written communication skills in English; working knowledge of Hindi. ● High degree of computer literacy; proficiency in MS Office (Excel, Word, PowerPoint) and Google Workspace (Google Sheets, Google Doc, Google Slides and Google Drive system). ● Ability to handle confidential information with discretion and professionalism. ● Self-motivated and able to work independently to meet deadlines and quality standards. ● Curiosity, team spirit, commitment and passion for the social and environmental challenges that drive Oorja’s work.
