Job Title: Mission Program Delivery Coordinator Division: Mission Program Delivery Reports To: Director of Programs or Executive Director Type: Full-Time (or Part-Time, depending on scale) Location: Remote with occasional travel to retreat sites or Foundation locations Purpose of the Role: The Mission Program Delivery Coordinator brings Sri Ashish’s teachings into direct experiential access by supporting the delivery of retreats, Satsangs, courses, and community programs. This role serves as a vital bridge between spiritual transmission and operational excellence—holding sacred space while ensuring systems, platforms, and communications are clear and responsive. Key Responsibilities Program & Event Coordination: Coordinate residential and virtual retreats, workshops, and Satsangs (logistics, timelines, registration, participant communication) Manage event checklists, volunteer coordination, materials preparation, and on-site or online execution Ensure seamless seeker experience across the lifecycle of every event Course Management: Oversee course rollout for the Three-Fold Path (Levels 1–3), ensuring material is well-presented and accessible Liaise with content creators and upload finalized versions into the LMS Track participation and feedback to help refine learning delivery Digital Learning Platform & CRM (LMS + HubSpot): Work with the Technology Division to maintain the LMS (MemberPress or similar), updating new courses, events, and user access Use HubSpot CRM to: o Manage learner and seeker communication journeys o Automate emails for course follow-ups, retreat reminders, and feedback collection o Segment users based on their participation history Facilitator & Volunteer Support: Maintain contact with volunteer facilitators and session leads Coordinate schedules, share session plans, collect post-session reflections Ensure facilitators are aligned with the Foundation’s non-hierarchical spirit and values Seeker Experience & Integration: Serve as a point of contact for registered participants before, during, and after a program Help seekers navigate the material, address logistical questions, and offer resources for deepening Maintain a tone of humility, respect, and spiritual discretion in all communication Content & Communication Management: Coordinate blogs, newsletters, and email updates related to programs and events in collaboration with the Communications Team Work with HubSpot to manage scheduled sends, segment lists, and measure engagement Collaborate with Publications Division to adapt retreat/course content into articles or digital stories Post-Event Documentation & Reporting: Compile attendance data, feedback summaries, and program insights after each retreat/Satsang/course Archive teaching content, recordings, and transcripts as per internal guidelines Maintain clear records for governance reporting and long-term archival Collaboration & Reporting: Coordinate closely with the: o Executive Director or Director of Programs for strategic guidance and approvals o Technology & Digital Platforms Division for LMS, HubSpot, and online presence o Publications Division for course manuals, journals, and print/digital material o Community Engagement Team to facilitate post-program follow-ups and seeker integration o Editorial/Communications Team for blog/newsletter alignment Maintain records of program participation, feedback, and key outcomes Qualifications & Qualities: Preferred Experience Experience in program coordination, event operations, or digital course delivery Familiarity with LMS platforms (e.g., MemberPress, Kajabi) and CRMs like HubSpot Strong writing and communication skills Ability to handle multiple projects calmly and efficiently Personal Attributes Deep respect for the teachings of Sri Ashish and the Three-Fold Path Clarity, kindness, and humility in dealing with seekers and team members Strong organizational skills with a quiet, steady presence during high-activity periods Willingness to work flexible hours (especially during major retreats or launches) Performance Milestones Minimum 3–5 annual retreats and 4+ Satsangs coordinated successfully Level 1–3 course rollout and live session support fully operational HubSpot automations and CRM workflows implemented for seeker journeys Monthly newsletter and regular blog posts published with program updates Post-event documentation and learning archives maintained consistently All materials and communication reflect spiritual integrity and experiential emphasis
