Role Purpose Execute the site-specific relocation plans through collaboration with Occupancy Planners and local lines of business representatives adhering to the quality and best practice methodologies. What this job involves CAFM / IWMS technology (FMS) Portfolio updates Headcount, space, area etc.. Multiple reports for the location (Space allocation by BU, location, building, floor etc..) Floor plan changes promptly communicated to Space Data Management team Ensure data accuracy within Space technology for assigned locations Develop and implement move project plan through collaboration with the Space Planner, facility manager, project manager and other stakeholders; as required Initiate and manage meetings to review move schedules with move vendors and key stakeholders Establish move project goals and objectives, making changes where necessary to ensure desired project results Perform data input into the FMS to maintain accurate occupancy information Prepare/update project status reports, update tracking reports and maintain files for due diligence and financials. Meeting KPI targets always Execute relocation and migration projects within the CAFM / IWMS (FMS) technology Ensure client satisfaction throughout the move management process Ensure all move management activities are performed in a manner consistent with documented processes Adherence to move management schedule Receive and process client move requests Provide a single point of contact for all move management activities Participates in planning meetings hosted by the client, Occupancy & Space Planning and other key stakeholders Evaluate vendors to ensure compliance with the standards of performance Ensure all project initiation, execution and closeout documentation are complete Vacancy and capacity changes Its BU front ending role and lot of interactions will be with senior leaders Profile should be good communication verbal and mail Reports Hands on experience on advance Excel , macros, Monthly calibration of Data base BU coordination Review and submission of portfolio and space Cost allocation Early warning system on demand and supply Key Interactions: Space management team Business unit representatives MAC Quality & Best Practice Lead FM teams Other stake holders (IT, Security, STPI/MAC) Every day is different, and in all these activities, wed encourage you to show your ingenuity. High Independence A high degree of independence is required on a day-to-day basis. Act as the primary contact for interaction with all parties to manage the service delivery, driving efficiencies, strengthen relationship with the business and stakeholders and work closely with the business to contribute to the growth of JLL. Requirements A bachelors degree in real estate, Architecture, design, or related field is required. Sufficient experience in managing occupancy, space, move management, and change management processes at both a tactical and strategic level and managing teams. Strong working knowledge of architectural drawings A working knowledge of occupancy/space utilization, office design principles and trends such as the mobile or collaborative workplace Critical thinking skill sets and the ability to tell a story through data Ability to understand complex ideas and communicate them to others on the account Ability to create accurate and credible planning reports to support Corporate Real Estate decision making Attentive to detail and accuracy, particularly numbers and spatial creativity Excellent written and verbal communication skills; including active listening, verbal, written and visual and the ability to engage at all levels of leadership from administrative to executive level Strong interpersonal skills Ability to go above and beyond to help with any tasks that might come your way and solve problems effectively Flexible, proactive, and adaptable Reliable, responsible, and disciplined Flexibility with work hours and travel as needed Advanced Excel and PowerPoint skills Advanced data analytics skills Experience with CAFM/IWMS software - required Familiarity with Tableau dashboarding tools Youll need to be dynamic and technologically savvy and utilize software to support planning solutions and communicate ideas clearly with the planning team and lines of business. You will be successful if you have advanced skills in Microsoft Excel (PowerPivot, pivot table, vlook-up, cell calculations) . Proficiency in Microsoft Office suite and ability to consolidate data and floor plans into PowerPoint for presentations to client and lines of business is required. Youll be effective in your role by asking the right questions to understand the underlying needs of our clients. Youll discover how to be proactive and innovative with solutions for your stakeholders. Excellent communication skills are important both written and spoken and well expect you to work independently, multi-task, and manage your time to meet deadlines. You keep on top of things as youll often need to reorganize your time day to day, to deal with your teams changing priorities and requests. An individual with strong interpersonal skills with an ability to interact with executive level external and internal clients will be successful in the role.
