What you’ll do Field Visits & Rapport Make courteous, regular visits to concerned departments/PSUs; maintain a contact map (front desk → dealing assistant → section officer → under/assistant engineer → accounts → approving authority). Build trust through updates, reminders, and documentation support Tender Visibility & Follow-Through Track key dates (pre-bid, site visits, submission, opening); confirm room/desk, token/queue process, envelope/label rules, and any physical document quirks (notary, stamp paper, initials, paging). Collect/submit hard copies where required; coordinate challans, DD/EMD instruments pickup/drop; liaise for gate passes and visitor entries. Pre-Bid & Clarifications Attend pre-bids/site visits; take minutes; escalate clarifications internally; follow up for corrigenda and addenda. Status Intelligence Politely check file movement/status, corrigendum likelihood, and evaluation stage; keep the bid team updated daily during critical windows. OEM/Partner/Bank Touchpoints Coordinate collection of MAF/OEM letters, BG/EMD, solvency and other certificates; ensure originals/copies are in the right format. Documentation Hygiene Maintain a tidy “bid-room” pack: checklists, annexures, seals/signatures, paging, and courier logs; ensure zero submission defects. Reporting Daily visit log (people met, outcomes, next steps), weekly pipeline movement report, and risk flags. Must-have skills Relationship building in govt settings: Confident, polite, patient; knows how to approach and communicate with staff at every level respectfully. Process discipline: Checklists, follow-ups, and time management—especially in the last 72 hours before submission. Communication: Hindi & English required; Bengali strongly preferred (add any regional language as plus). Documentation basics: Understands affidavits, notarization, stamp paper, paging/signing, envelope formats, challans/DD/BG handling. Tools: WhatsApp/Email etiquette, MS Office/Google Sheets, basic CRM or tracker updates. Mobility: Comfortable with frequent intra-city travel; two-wheeler preferred (TA/DA reimbursed).
