Opening of parcel and shipments received from the clients marking a list of the contents. Measuring and/or counting fabric panels and/or other materials. 3. Taking the Xeroxes & photo copies of the orders, entering the style numbers and orders in the VG system. The material chart must be always attached to the Xerox of a sample, a swatch or a production order. 4. Filing of all the papers with proper follow-up of Material chart to be attached with all the order with specific style number, order number, Season, model number and price. 5. Courier Parcels: Dispatch sheet, Paper work, Xeroxes, Courier booking, Packing & getting the parcel ready at the fix time, tracking the parcel till it is delivered its destination, and if needed dropping the parcel from office to courier company. 6. Help in costing: By calling the suppliers for prices of the swatch, and samples along with the number of hours prices finding out the name of the source of the materials used by the suppliers. Also getting production price and, the chart and in some cases a specified price for production. 7. Follow-up for all the bills related to marketing, all the bills have the style number and to be signed by the Merchandiser, and submitted to the store Department. 8. For production follow-up of the production order on a daily basis, whether pieces are on the frame, in QC, repairs and packed. Making factory visits to check and see if the work is going correctly and on time. If necessary, help in QC and the packing Department. The order must be supervised to the logical conclusion of emulation and dispatch. Key Responsibilities: 1. Operational & Administrative Support Schedule, prepare agendas, and take minutes for the COO’s internal and external meetings. Follow up on action points discussed during departmental meetings. Assist in troubleshooting daily operations-related issues and escalate to the COO when necessary. Manage the COO’s calendar and prioritize appointments. 2. Coordination with Departments Send reminders for daily and weekly reports, collect them from teams and compile them into summaries for the COO. Update JDs and SOPs as per new system updates. Coordinate with stores, accounts, HR, and merchandising teams to ensure seamless communication and the execution of tasks as needed. Assist in organizing annual events, vendor meetings, and employee gatherings as directed. 3. Inventory & Store Support Support the COO in overseeing store and inventory checks. Monitor status of discarding activities, space allocation, vendor meetings, KYC update, and vendor payment. 5. ERP & SOP Oversight Monitor ERP usage compliance across departments and report deviations. Monitor SOP compliance across departments and report deviations. 6. Client & Order Support Assist with client follow-ups, especially for COO-dedicated styles and swatch approvals. Coordinate with merchandisers to track pending deliveries, emails, or fabric issues. 7. CSR, Projects & Special Initiatives Support CSR projects such as Labour of Love, Recycle Bags, Jai Vakeel, and Asha Sadan collaborations. Track and report project progress to the COO. 8. Digital, Media & Creative Support Organize fashion calendar timelines and reminders. Assist with photoshoots and video content required by the COO. Coordinate updates for the website and social media under COO’s guidance. 9. Client Experience & Communication Ensure a seamless order-to-delivery experience for key clients. Follow up on customer feedback and report on satisfaction metrics. 10. Assisting : · Assist the COO with all tasks and organize paperwork and documentation accordingly. · Attend meetings and workshop visits in case the COO is unable to attend, to take down points of discussion.
