Key responsibilities and duties · Communication and coordination: Answer phones, greet visitors, and respond to emails. Manage incoming and outgoing mail and other correspondence. Schedule meetings, appointments, and conference calls, and book rooms. · Record keeping and data management: Create and maintain organized physical and digital filing systems. Perform data entry and manage databases, including updating records and compiling reports. · Office management: Order and maintain office supplies and equipment. Handle general office duties and keep the workspace running smoothly. · Documentation and reporting: Prepare and edit documents, presentations, and reports. Take minutes at meetings. · Financial support: Process expense reports and invoices, and perform basic bookkeeping tasks. · Travel and logistics: Make travel arrangements and book accommodations for staff. · Other duties: Provide support to other departments and team members as needed. Assist with event planning and coordination.
