As a Systems Engineer specializing in Software License Management - CMDB L2, you will be joining our team with over 4 years of experience in the field. Your responsibilities will revolve around ensuring software license compliance, maintaining accurate data in the Configuration Management Database (CMDB), and supporting operational processes related to software assets. Your primary role will involve managing software license compliance by tracking, monitoring, and managing software licenses across the organization. You will work on maintaining accurate records in the Software Asset Management (SAM) tool, supporting audits, identifying cost-saving opportunities through license optimization, and collaborating with procurement teams for renewals and acquisitions. Additionally, you will be responsible for the administration of the CMDB by ensuring data accuracy and integrity, performing regular updates on Configuration Items (CIs), supporting integrations with other IT tools, and enforcing CMDB data governance policies and configuration management standards. In terms of operational support, you will provide Level 2 support for software license and CMDB-related incidents and requests, investigate and resolve issues, and develop documentation for processes and workflows related to Software License Management (SLM) and CMDB. Collaboration and stakeholder engagement will be crucial as you work with IT, procurement, and vendor management teams to align on software usage and license compliance, coordinate with IT operations and change management teams for CMDB updates during deployments, and provide training to teams on software license and CMDB processes. Your technical skills should include knowledge of software license management processes and tools such as Flexera, Snow, ServiceNow SAM, hands-on experience with CMDB platforms like ServiceNow CMDB, understanding of major software licensing models for vendors like Microsoft, Adobe, Oracle, and proficiency in data analysis and reporting tools like Excel and Power BI. Strong analytical and problem-solving skills, excellent communication and stakeholder management abilities, attention to detail, and a commitment to data accuracy are essential soft skills required for this role. As the IT Vendor Manager, License Optimization Specialist, you will work within the IT Vendor Management Office (VMO) and support the Global Software Governance lead in driving license usage efficiencies for Microsoft products (M365 E5 and related products, Visio, MS Project, etc.), Key Responsibilities include: Review and monitor the current Microsoft licenses to ensure that licences are assigned in an optimal manner based on account type and usage. Collect and consolidate licensing assignments from the various portals and IT tools to identify licenses that may be incorrectly assigned or over assigned to the different account types. Make recommendations based on the licensing usage and assignment data collected on whether licensing should be reclaimed. Engage with the regional software asset managers and the infrastructure teams to investigate and collect pertinent user information which can be used to optimize license assignments. Submit reclamation and license optimization lists that can be actioned by the infrastructure teams to reduce licensing costs. Liaison with regional onboarding staff to collect user profile information for validating that Microsoft license assignments are aligned with employment profiles. Liaison with regional HR staff to collect user employment statuses to ensure that Microsoft licenses have been optimized according to employment status. Liaison with the various IT support as well as regional SAM resources to investigate generic non personal licenses assignments to validate usage and business requirements. Provide the key Stakeholders with the appropriate reports required actions statuses (in progress, completed, pending) Provide the VMO optimization leads with the output files needed to input into the Microsoft licensing dashboards. Strong organization and communication skills to manage, interpret, and explain licensing terms and reclamation strategies implemented to VMO and other key stakeholders. An in-dept understanding of Microsoft enterprise licensing models with a particular focus on M365 E5, Exchange Online, Entra ID, and SharePoint licenses. A proficiency in SAM reporting tools and Power BI dashboards Analytical skills to analyze license usage data to identify underutilized or over-provisioned licenses. Can develop and implement automated processes to streamline Microsoft license reclamations to reduce manual efforts. Strong scripting skills to facilitate the automated process.
