Job Title: Billing & Dispatch Executive Roles and Responsibilities: As a Billing & Dispatch Executive, you will be responsible for ensuring smooth coordination between billing, invoicing, and dispatch operations. Your role is critical in maintaining accuracy, efficiency, and timely delivery of goods/services. Key Responsibilities: Billing & Invoicing: Prepare accurate sales invoices and credit notes in line with company policies. Verify customer details, product pricing, discounts, and applicable taxes before finalizing bills. Maintain and update billing records in ERP/software. Coordinate with the accounts team for payment follow-ups and reconciliation. Ensure compliance with GST and other statutory requirements. Dispatch & Logistics Coordination: Coordinate with warehouse/production teams to schedule and plan timely dispatches. Generate delivery challans, e-way bills, transport documents, and shipment labels. Track shipments and ensure on-time delivery to customers. Liaise with transporters, courier partners, and logistics providers for smooth dispatch. Maintain dispatch records and update customers on shipment status. Documentation & Reporting: Maintain proper filing of invoices, challans, transport documents, and dispatch records. Prepare daily/weekly/monthly reports on billing and dispatch status. Highlight discrepancies, delays, or issues to management for timely resolution. Customer Support & Coordination: Address customer queries related to invoices, dispatch, and delivery timelines. Coordinate with sales and customer support teams for order fulfillment. Handle returns, replacements, and related documentation. General Responsibilities: Ensure accuracy, timeliness, and compliance in all billing and dispatch activities. Assist in audits by providing necessary records and reports. Continuously improve processes to enhance efficiency and reduce errors.
